Job Summary

The Human Resources (HR) Administrator is part of the Client Service team (CST) embedded within the Faculty of Arts and Science (FAS), where sharing ideas, open communication, accountability, and partnership are promoted.

This collaborative environment enables the Client Service team to deliver comprehensive and responsive client solutions.

Reporting to the Human Resources Director, and receiving day-to-day direction from the Senior Staffing Officer, the Human Resources Administrator is responsible for coordinating a broad range of human resources activities such as coordinating recruitment activities, onboarding and rehiring processes, advising managers on human resources processes, university policies and procedures, collective agreement administration and legislative compliance, and auditing of appointment and leave data in the Human Resources information system.

The incumbent will work with managers and administrators to address human resources administrative issues and will support various Queen's FAS initiatives.

The Human Resources Administrator is expected to address all matters with a high degree of confidentiality and discretion.


Job Description:


KEY RESPONSIBILITIES:


  • Performs data entry by processing contract/templatebased hires, managing earnings distribution changes, and other job data changes for all academic and or staff appointments ensuring accuracy and completeness.
  • Supports the Faculty new hire onboarding processes, contributing to a welcoming environment focused on inclusion and belonging for all members of our Engineering Community.
  • Administers all staffing and appointment approvals working closely with the other Human Resources Team Members.
  • Responds to employee inquiries regarding HR related topics. The expectation of the Administrator is that they are able to resolve most issues by relaying the appropriate advice, policy, and procedure, and referring more complex issues to the Senior Staffing Officer or Director as needed.
  • At the direction of the FAS Staffing Team, resolves issues which may impact running payroll, consulting with an HR Advisor or HR Support Representative, as required. This may include preliminary investigation of issues, gathering data or contacting managers and employees as required.
  • Assists with the faculty TA, TF, AA and Casual hiring and payment processing for the faculty. The Administrator communicates to and trains staff, departments and faculty on the process, audits ensuring accuracy of data and adherence to collective agreements and University policy and procedures and resolves issues or concerns independently and directly. Creation of offer letter, development of templates and recommendations for customization.
  • Administer the approval process for the recruitment of staff positions and the reevaluation of existing positions, review requests and ensures all required information is submitted and all approvals are received. Responds to manager inquiries and troubleshoots system issues (CareerQ).
  • Enters and verifies (auditing) employee data into HR systems in an accurate and timely manner.
  • Tracks and records employment and compliance data and follows up with persons and departments to maintain related compliance (example mandatory legislated training).
  • Participates in the delivery of training to staff and supports the development of any such materials.
  • Identifies and recommends changes to administrative procedures and assists with implementation as required.
  • Provides administrative support for the HR Director and Senior Staffing Officer.
  • Work with the HR Director, the Senior Staffing Officer and departmental managers on various HR initiatives including: supporting projects, researching best practices and collecting information, drafting policies and procedures, drafting communications and training material, delivering training and providing other administrative support.
  • Performs other duties as assigned.

REQUIRED QUALIFICATIONS:


  • Postsecondary diploma in Business Administration or Human Resources Management
  • 3 years' experience in a similar capacity performing similar functions
  • Comprehensive knowledge of Employment Standards, Human Rights, and other applicable employment legislation. Familiarity with University policies and procedures, collective agreements and organizational structure considered an asset.
  • Advanced working level in Word, Excel, and various databases with refined ability to manipulate data, and to learn new software and programs.
