Trans Mountain operates Canada's only pipeline system transporting oil products to the West Coast.

We deliver approximately 300,000 barrels of petroleum products each day through 1,150 kilometres of pipeline in Alberta and British Columbia, and 111 kilometres of pipeline in Washington state.

As the Emergency Management Administrator, you will have the opportunity to utilize your strong organizational and data management skills to aid the Emergency Management Department.

This role reports to the Director of Emergency Management and is a key position that supports the Emergency Management and Security Programs.

The Administrative Assistant's main responsibility is to support the implementation and maintenance of the programs to ensure Trans Mountain complies with all regulations and company policies and procedures


Key Responsibilities:


  • Responsible for all administrative duties such as booking travel, processing expenses, booking meetings, taking meeting minutes, mail/courier and other administrativetype tasks as required for the Emergency Management and Security Departments
  • Provides key support with budget tracking, and invoice coding/receiving to ensure compliance with internal financial reporting processes in coordination with coordinators and budget analysts
  • Supports the department in the distribution of plans, processes and procedures as required by each program
  • Assists with the implementation and maintenance of the integrated safety and loss management system including the development of tools/forms/templates required ensuring the emergency tool kit is updated and response ready
  • Communicate with internal and external stakeholders (including contractors) regarding any changes or requests from the Emergency Management Department
  • Fill a support role during emergencies/incidents which requires strong organizational skills to manage competing priorities and flexibility around hours of work

Qualifications and Professional Experience:


  • Certificate or degree in Office Administration, Accounting, or related program
  • 6 + years of experience in an Administrative/Analyst role
  • Communicates clearly, concisely, and effectively
  • Ability to synthesize a large amount of data and information and to draft highquality documents, including the internal and external correspondence
  • Ability to work under pressure with tight deadlines during critical times
  • Proactively identifies potential risks and vulnerabilities, and communicates them appropriately
