Human Resources Administrator position.


RESPONSIBILITIES:

As an HR administrator, you will be responsible for supporting various HR processes and ensuring smooth operations


Your responsibilities will include:

New Hire Evaluation and Reporting:


  • Maintain regular communication with new hires during their first three months (1st month, 2nd month, 3rd month) to gather feedback and evaluate their experience.
  • Receive new hires from the HR representative and collect evaluation data for the eNPS (employee Net Promoter Score) metric.
  • Prepare a monthly report on new hire evaluations to be presented to the HR manager.

Onboarding Process Support:


  • Assist HR representatives with the onboarding process, offering guidance and coverage during their absence or when additional support is required.
  • Ensure a smooth onboarding experience for new employees.

Document Management and Compliance:


  • Audit and file all employee documents, collaborating closely with the payroll department to ensure compliance.
  • Ensure all documents are signed off and updated promptly.
  • Maintain accurate digital records of employee files, scanning and organizing them efficiently.

Recruitment Process:


  • Take full ownership of the recruitment process.
  • Execute assignments (new positions requests, etc.) provided by the HR manager based on priority, ensuring compliance with the recruitment process outlined in the flow map.
  • Maintain uptodate records and reports on recruitment activities, policies, and procedures.
  • Ensure the smooth and effective execution of recruitment processes.
  • Streamline procedures to enhance efficiency and productivity.

Absenteeism Tracking:


  • Track and maintain accurate records of employee absenteeism.
  • Prepare a monthly absenteeism report to be presented to the HR manager.

Referral Program Management:


  • Track and monitor the referral program, ensuring employees are kept informed.
  • Collaborate with the marketing department to provide gift cards as per the HR manager's approval.

Collaboration and Teamwork:


  • Foster a collaborative and supportive environment among all departments, promoting teamwork and reliability.
  • Encourage teamwork and mutual reliance in the HR department and across the organization.

Payroll Documentation:


  • Prepare documents for payroll changes and collect employee signatures.
  • Work with HR representatives to ensure all necessary documents, including performance reviews, are accurately filed.

HR Management Report:


  • Prepare the monthly HR management report, ensuring it includes relevant data and insights as defined by the HR manager. This may include metrics on employee engagement, recruitment, onboarding, absenteeism, and other relevant HR indicators.

Confidentiality:


  • Protect the organization's value by ensuring the confidentiality of sensitive information. Maintaining strict confidentiality protocols and safeguarding confidential employee data, including personal and financial information, performance reviews, and disciplinary actions.

REQUIREMENTS:


  • Diploma in human resources or related field.
  • 1 year of administrative experience.
  • Excellent communication and interpersonal skills.
  • Experience with reporting and maintaining data.
  • Exceptional computer skills (Microsoft Word, Excel, Outlook).
  • Well organized, detail oriented and efficient.
