Role Overview:


  • Typing, filing, and/or performing routine administrative duties, as required.
  • Creating, transcribing, and proofreading various correspondence and reports, as required.
  • Preparing legal documents from written, oral and taped instructions and precedents.
  • Drafting routine correspondence on behalf of lawyer; entering dockets and preparing accounts.
  • Assisting in management of lawyer's practice, i.e., opening files, arranging meetings, scheduling hearing dates with government bodies and/or representatives.
  • Coordinating and arranging travel requirements including transportation, accommodation, preparing itineraries and agendas.
  • Managing bring forward system and keeping lawyer apprised of matters in office.
  • Coordinating and monitoring administrative functions to ensure completion of work accurately and within established time frames.
  • Assembling information and maintaining records of lawyers' and/or firm's involvement with conferences, organizations and client development initiatives.
  • Answering general correspondence and inquiries made by both internal and external parties.
  • College Diploma in Legal Administration is required.
  • 510 years experience in a combined Executive Assistant and Legal Assistant role.
  • Law firm experience is required.
  • Proficient in Microsoft Office 365; advanced Word, Excel, PowerPoint, Outlook skills.
  • Strong computer and internet research skills.
  • Flexible work ethic to meet varying work load demands of the position.
  • Proven strength in managing the lawyers practice; consummate professional, mature in their thinking, actions and decision making and flexible in an ever changing environment; able to truly multitask while being detail oriented and focused.
  • Proven ability to handle confidential information with discretion.
  • Able to initiate action and work independently.
  • Demonstrated attention to detail along with strong writing and editing abilities.
  • Excellent organization, time management and project management capabilities.
  • Exceptional communication and interpersonal skills.
