Role Summary:


This person will report directly to the President of the NOVONIX Canadian division and provide administrative support to him and one other member of the senior management team, the Head of Human Resources.

Occasionally, this person will be responsible for providing travel arrangements and/or expense reporting for additional senior management team members, such as the Controller, Assistant Corporate Counsel, and the SVP of Business Development.

In the role of Executive Assistant, you will be joining a world-class team that is delivering innovative solutions to tough problems.


This position is fully onsite working out of our Dartmouth, Nova Scotia office, but may require traveling between our two Canadian site locations - Dartmouth and Bedford, Nova Scotia. The hours are Monday through Friday, day shift.


Responsibilities include:


  • Calendar management
  • Travel arrangements, meeting coordination, and logístical planning for events
  • Coordinating guest speakers and logistics for employee trainings (e.g. monthly Lunch & Learns)
  • Manage, organize, and upload content to SharePoint Intranet
  • Coordinate execution and filing of agreements and other documents under applicable policies
  • Organize town hall meetings and prepare materials for guest speakers
  • Capture meeting minutes and actions for the BTS leadership team, and follow up on tasks to keep projects moving forward
  • Handle confidential and sensitive information with the utmost professionalism and discretion
  • Assist with ongoing projects as assigned balancing short and longterm deadlines
  • Create and develop visual presentations using Microsoft tools, proofread decks, etc.
  • Assist with the preparation of materials for Board of Directors and Board Committee meetings
  • Oversee special program initiatives, as needed
  • Prepare invoices, timesheets, reports, etc., as needed
  • Expense reporting support

  • A professional with 5+ years of experience working in an executive assistant role
  • Resourceful when it comes to solving problems
