The Role
We are seeking a Bilingual HR Assistant to join our Human Resources team.

The HR Assistant is responsible to provide support to the Human Resources department in the daily administrative and technical activities.

The HR assistant will assist with employee recruitment, employee relations, training and HR administration. The HR Assistant also serves as a liaison between the human resources department and employees for effective communication. Additionally, the HR Assistant will support the Temporary Foreign Worker Program, which involves assisting with arrivals, departures, onboarding, translation and interpretation services, training and after-hour emergencies among other duties

Job Description/Responsibilities

HR Administration

  • Be primary point of contact for general HR enquiries from staff and the general public and direct enquiries to others where necessary
  • Assists with the administration of companywide human resources policies, procedures, and practices in accordance with applicable legislations and regulations
  • Assist in the development and implementation of HR policies, programs and procedures and Employee manual
  • Prepare and proofread HR correspondence, forms, and other documents
  • Set up and maintain manual and computerized information filing systems (Smartsheet employee lists, enterprise, ets.)
  • Maintain accurate Employee record keeping and file maintenance
  • Face scanner registration for local and TFW employees
  • Compile documentation, prepare and submit WSIB cases reporting, return to work programs, assigning and monitoring light duty work
  • Reporting on monthly statistics, trends and bringing forward suggestions on areas for improvement
  • Order materials and supplies to maintain HR inventory levels

Recruitment Support

  • Participate and support the company recruitment process by:
  • Work closely and effectively with other departments and management to define and agree on recruitment requirements for entry-level positions
  • Post job adverts to standardly used sourcing channels (company web page, JobBank, Indeed, LinkedIn, etc)
  • Coordinate, schedule and conduct in person interviews for entrylevel positions
  • Conduct and verify background and reference checks
  • Prepare employment offers and contracts for entrylevel and/or nonmanagement positions

Training and Development

  • Provide onboarding and orientation for new hires
  • Coordinate mandatory annual training (H&S, AODA, WHIMS, Violence & Harassment, etc.)
  • Establish and maintain a database of all training provided to employees (internal and external), both as per the annual training plan and per legislative requirements
  • Assist with greenhouse staff training
  • Assist in the development and delivery of HRrelated training sessions
  • Coordinate external training sessions and seminars

Employee Relations

  • Assist the HR Manager with providing guidance to managers and supervisors in dealing with employee issues and managing the progressive disciplinary procedures
  • Aid in managing conflict situations and employee relations
  • Assist in the organization of company events by ensuring that appropriate communication is sent out to the team
  • Participate and/or lead HR Engagement projects and initiatives (surveys, focus groups, anniversary's, recognitions events, etc)

Temporary Foreign Work Program

  • Assistant in the administration of the Temporary Foreign Work Program by:
  • Schedule appointments for Temporary Foreign Workers and provide translation services
  • Book and coordinate transportation arrangements and appointments for workers
  • Assist with bank accounts and OHIP renewals
  • Assist in maintaining a safe, clean, and legally compliant workplace
  • At as a Backup for the HR Administrator on the TFWP duties

Minimum Requirements

  • Postsecondary education in Human Resources
  • Bilingual, ability to speak and write fluently in Spanish and English
  • Available to work overtime and after hours as needed, often with short notice
  • Experience with recruitment is considered an asset
  • Previous experience in a culturally diverse work environment is beneficial
  • Strong interpersonal skills with the ability to build trusting relationships and work with integrity
  • Professional verbal and written communication skills, both oneonone and groups
  • Fluency in Windows / MS Office is man
