Who we are:


Intellectual Property Ontario (IPON) is a new provincial agency that will serve as a go-to resource for Intellectual Property (IP) expertise to help researchers and companies maximize the value of their IP, strengthen their capacity to grow and compete in the global market.


Location:
This is a remote-first opportunity within Ontario.

We have offices in both Kitchener and Toronto where the team meets on an occasional basis (monthly) or as needed.


IPON is adopting and integrating "digital first" principles and culture in its operations, allowing flexible and geographically unrestricted engagement with clients and stakeholders via user-friendly digital platforms.

The agency has and will continue to leverage digital tools including government IT infrastructure to complete client intake processes, online marketing and communications, and developing a more robust digital client relationship management (CRM) solution.

This role is key in delivering these critical digital projects and advancing IPON's digital roadmap and strategy going forward.


The IT Project Manager is required to manage the successful procurement and implementation of several key digital projects at IPON.

They will manage digital projects from concept to completion.

This is a new role and will work cross-functionally with project owners, leadership, vendors, and additional IP Services and Corporate stakeholders.


Responsibilities:


  • Leading and preparing documentation including regular team meetings, status updates, progress reports, workback schedules
  • Gathering requirements and creating associated documentation, such as business and functional requirements documents, work back schedules, complex workflow diagrams
  • Managing deliverables in line with project plans
  • Driving overall progress, coordinate use of resources, resolving conflicts and recommending actions
  • Documenting complex workflows
  • Working with internal team to complete procurement compliance and run RFP processes, including completion of cybersecurity threat risk assessments, in accordance with government/agency procurements rules and processes
  • Ensuring compliance with Government Digital and Data Directive
  • Coordinating the delivery of IPON's digital products with Ontario Digital Service, OPS Cybersecurity, Privacy Office, and Enterprise IT Architecture teams as required
  • Working with vendor(s) to communicate project needs and timelines; then planning timelines with internal team
  • Working with internal team to determine content development needs and
  • Coordinating internal schedules for review (e.g. when RFPs need to be reviewed or filming needs to take place)
  • Setting realistic timelines and ensuring budgets and timelines are being adhered to by internal team and vendor(s)
  • Working with communications team to receive final content (EN and FR) and getting that to the vendor
  • Completing quality and compliance testing and control (e.g. AODA, cybersecurity)
  • Coordinating documentation and/or training required for a successful implementation and integration process within existing programs and processes

Qualifications:


  • 8+ years of experience managing IT implementation projects. CRM, LMS, or website project experience is an asset
  • Experience in business systems analysis, implementing projects requiring configuration and integrations
  • Leadership experience, which may include project leadership with direct or indirect reporting relationships
  • Postsecondary education related to information technology or business, or a combination of education, training and experience deemed equivalent. PMP is desirable
  • Strong understanding of digital and agile project delivery
  • An understanding of IT procurement within a government agency is highly desirable
  • Strong relationship building skills with communication abilities to effectively manage vendors and internal stakeholders, and present to senior executives
  • An understanding of cybersecurity and risk assessments
  • Ability to influence as a sole contributor with informal reporting relationships to drive projects to completion
  • An understanding of AWS services and cloud architecture
  • Experience leading API integration and configuration
  • Knowledge of security frameworks and standards (e.g., NIST, ISO 27001)
  • BI and SQL experience (nice to have)
  • Business and system analysis knowledge and handson experience in popular LMS (e.g., Moodle, Brightspace) (nice to have)
