SCOPE

Reporting to the Associate Dean, Student Academic Services functionally and to the Manager, Student Academic Services (SAS) administratively, the incumbent counsels and guides undergraduate students facing academic difficulties (at risk students) throughout their enrollment in the programs at the Gina Cody School of Engineering and Computer Science (GCS) with the goal of enhancing student experience and improving student retention and success rates at GCS, as well as advise potential students interested in transferring to one of the programs at the Gina Cody School with particular emphasis on guiding students interested in the fields of Information and Communication Technology.


PRIMARY RESPONSIBILITIES

  • Evaluate academic records of atrisk students for the program requirements and in consultation with the Undergraduate Program Directors at the departments assist them in course selection and registration. Present complex cases to the Manager and the Associate Dean and propose solutions.
  • Evaluate and provide timely and appropriate responses to student requests received from atrisk students. Proactively guide them to improve their chances of success based on their individual circumstances.
  • Liaise with the Departments at the Gina Cody School and Enrollment Services and maintain active communication with students and university departments and services.
  • Coordinate the peer tutoring services at the Gina Cody School and other academic advising and mentoring activities
  • Support the Associate Deans on special projects aimed at improving student experience, retention and student success rates; developing digital strategies to improve the quality and availability of academic advising; benchmarking our advising with other universities in engineering and computer science.
  • Advise students wishing to transfer to the Gina Cody School undergraduate programs on appropriate course selections, admission and grade requirements, deficiencies and potential transfer credits and assist them with course registrations.
  • Represent the Student Academic Services team on various internal and external meetings and/or committees, which deal with advising and retention of undergraduate students.
  • Perform other duties as assigned by the Manager, or Associate Dean, Student Academic Services, in support of the unit and the school.

QUALIFICATIONS

  • Bachelor's Degree, preferably in Engineering or Computer Science, and two to four years of related work experience in an academic setting.
  • Good knowledge (Level 4) of spoken and written English.
  • Good knowledge (Level 4) of spoken French and French reading comprehension.
  • Good knowledge (Intermediate level) of Word, Excel, and PowerPoint.
  • Excellent interpersonal skills are essential; ability to deal effectively with prospective, current and former students and alumni, with faculty and staff members within internal and external departments and committees.
  • Must have proven writing, analytical and organization skills; the ability to work under pressure for extended periods of time, take initiative and work independently as well as within a team environment.
  • Excellent communication skills to conduct orientation and information sessions to potential and current students.
  • Must have a proven ability to coordinate projects and work within strict deadlines.
  • Ability to work extended hours outside normal operating hours.
  • Ability to work under pressure in a highvolume area and to adapt to change. Proven experience working in a fast paced, high pressure team environment.
  • Ability to keep composure (calming effect in a difficult situation).
  • Previous work experience in the area of student life and knowledge of Canadian educational and International educational systems and the University's academic rules and regulations and advanced knowledge of the Student Information System (SIS) are assets.
