Job Summary


The Employee Relations Coordinator provides confidential administrative, operational, and analytical support to the Executive Director, Employee and Labour Relations, and the Employee Relations Team.


In addition, this position is responsible for establishing and maintaining effective systems, processes, and coordination in the administration of staff grievances and collective bargaining.

Organizational Status

Reports to the Executive Director, Employee and Labour Relations.

Work Performed

  • Provides confidential administrative support to the Employee Relations team. Prepares a variety of sensitive and confidential materials including correspondence, reports, documents relating to the administration of the collective agreements and other agreements, and handbooks governing conditions of employment.
  • Manages all administrative functions within Employee Relations. Includes problemsolving, project planning and management, and development and execution of identified goals, priorities and objectives.
  • Conducts needs assessments and determines requirements for all stakeholders in order to establish, or improve, systems, both procedural and electronic.
  • Provides financial and costing analysis for Employee Relations, including creating reports for bargaining and other projects or processes.
  • Coordinates the booking of grievance, arbitration, and collective bargaining meetings. Liaises with all parties, coordinates schedules, books rooms, arranges catering and notifies attendees.
  • Coordinates and compiles documents for grievance meetings and legal proceedings and assists with related evidentiary processing such as the transcription of voice mails and the gathering of IT related documents.
  • Manages records for the Employee Relations team including: LRB decisions, arbitration decisions, union settlements, legal opinions, collective bargaining notes and official agreements.
  • Creates databases and prepares spreadsheets for a variety of information such as grievance tracking, termination tracking, union leave tracking, and legal fees tracking. Conducts analyses of material to provide yearoveryear comparisons and identification of significant issues.
  • Effectively leverages Workday as the employee file of record for UBC, and the use of iSight in order to produce regular and ad hoc reports. Performs analysis of complex data, making recommendations on reports for a variety of purposes.
  • Exercises initiative and appropriate judgement and discretion when considering requests for reports for other units or third parties.
  • Receives requests from Office of the University Counsel in regards to requests under the Freedom of Information and Protection of Privacy Act (FIPPA). Determines the appropriateness of documents and where necessary seeks advice. Completes production of employee records according to the request and sends to the requesting office meeting identified deadlines.
  • Administers the hiring, onboarding, off boarding, for all new team members in Employee Relations including Work Learn students/Canada Summer Job students, coordinating the posting, interview and offer process and ensuring that timelines are met and a welcoming environment is provided.
  • Prepares collective agreements and handbooks for printing and web. Sources, procures, and coordinates the publishing of printed collective agreements by obtaining quotes, analyzing costs and product and preparing purchase orders and payment of invoices in a timely manner.
  • Coordinates purchase orders, invoice payments, travel and expense reimbursements, and credit card reconciliations for the Employee Relations Team. Engages with law firms and external vendors to discuss billing, payment arrangements and other related items.
  • Coordinates travel, accommodation and itineraries as required.
  • Manages subscriptions for online resources ensuring user lists are kept up to date.
  • Acts as IT Services contact person for ER and ensures employees are listed on the correct distribution lists.
  • Performs other related duties as required.
