The Medical Office Assistant will be responsible for one neurologist including tasks such as:

  • Schedule outpatient clinics
  • Answer and return phone calls from patients and doctor's offices in a timely manner
  • Medical document filing either in paper charts or electronic patient records
  • Manage clinics: create new patient charts, welcome patients, book followup appointments, book investigations
  • Patient communication: dates and times of scheduled tests and consultations, results on occasion
  • Manage consult notes: Ensure all patients seen have consult notes, that consult notes are sent to the referring and CC physicians in a timely manner
  • Order and restock clinical and office supplies
  • Manage incoming and outgoing mail
  • Assist with OHIP billing and payments for uninsured services
  • Other additional administrative responsibilities, such as the scheduling of medical resident trainees who rotate through the clinic
  • Note: No dictation work will be required as patient notes are electronically dictated


  • Job Requirements

  • Successful completion of postsecondary education in office administration or related field of study from an accredited educational institution
  • Minimum one (1) year recent and related administrative experience, preferably in a healthcare or academic setting
  • Educational or work experience with office administration
  • Requires previous experience with medical records and maintenance of an electronic medical record (EMR) program (Accuro experience would be an asset)
  • Advanced technical skills and proficiency with MS office and other medical software Superior organization skills and ability to prioritize competing tasks
  • Strong work ethic, professionalism, dependability and reliability
  • Ability to make decisions, exercise judgment and take initiative in dealing with confidential information and/or in responding to inquiries
  • Flexible with ability to work efficiently in a fastpaced, multitasking and dynamic environment
  • Excellent oral and written communication skills are required, excellent interpersonal and professional skills, an ability to work with established team and/or independently as required
  • Demonstrated satisfactory work performance and attendance history
