Site Administrative Coordinator, Department of Obstetrics and Gynaecology

The Site Administrative Coordinator provides leadership to the administrative team and acts as a resource for all administrative functions, both UBC and site related.
The position is required to act independently and make decisions on a daily basis, often outside clearly defined terms of reference which are accountable to the Department Head and Department Business Director.
Internal communications are multifaceted pertaining to both academic and operational business such as the Hospital's executive and senior management, other clinicians and Department personnel, Human Resources, Information Systems and Purchasing.
Externally, the incumbent must act as primary information and public relations interface for the Department.
The incumbent must coordinate the Department Head's business and the Departments' many meetings and forums with a variety of Hospital, Faculty and Executive members.
Communications are continuous with University, provincial and national professional services and organizations such as UBC, COUTH, SOGC and Colleges. All occur within the academic, clinical, research and administrative objectives of the UBC and BCW Department.What you'll do
- Responsible for the management of support staff including the selection, recruitment, disciplinary issues, performance appraisals, reclassifications, training and establishing work schedules. Identify skill upgrading needs of support staff and ensure appropriate training is received.
- Responsible for delegation of workload amongst the administrative team.
- Coordinate and implement policies and procedures as directed by the UBC and BCW executive and departmental committees. Provide administrative support to these Committee and others, which function to support the Hospitals and University's mandate.
- Participate in committee and working groups as appropriate and ensure policies and procedures are followed.
- Work collaboratively with the Department Head and the Business and Financial Director in the design, development, implementation and evaluation of the Departments mission, goals and objectives of the Department over the various sites.
What you bring
***- A level of education, training, and experience equivalent to a diploma in Health Administration or a related field of study plus five (5) to (7) seven years of supervisory/management experience in a hospital, health care or University setting.
You will also have:
- Demonstrated understanding of effective operational procedures and work processes in an administrative environment for a large complex organization.
- Demonstrated ability to manage administrative staff and deal with a variety of complex human resource issues.
- Demonstrated ability to communicate with various levels of staff in an academic setting; use of discretion and sensitivity are imperative to function effectively.
- Demonstrated ability to analyze complex and diverse problems and recommend and implement solutions.
- Commitment to upholding the shared responsibility of creating lasting and meaningful reconciliation in Canada as per TRC and BC's Declaration on the Rights of Indigenous Peoples Act
- Knowledge of social, economic, political and historical realities impacting indigenous communities and familiarity with Indigenous Cultural Safety and antiracism and accompanying reports (BC DRIPA, TRC, etc.).
