JOB PURPOSE

Reporting into the Senior Manager of Service Delivery, Talent Development, the Learning Associate provides support in the planning, organization, assessment, development and implementation of key instructor-led learning initiatives in Talent Development.

The Learning Associate is accountable, in partnership with the Senior Advisor/Program Manager, Talent Development, for delivering on the following key accountabilities and providing direct support to the Leadership Team on any other matters related to the successful management and operation of the team.


KEY ACCOUNTABILITIES
Producer – present for the delivery of instructor-led sessions

Attend assigned sessions virtually and ensure learners have an exceptional virtual experience during the class/program (manage camera, mute participants when necessary, resolve experience issues)
Manage all incoming questions, consolidate in real time, and call out questions to the speaker
Manage the flow of the session: drive the deck, monitor timing/agenda, minimize disruptions
Provide technical assistance for instructors and learners during sessions
Send digital materials pre‑ and post‑session (recordings, recommendations, job aids)

Reporting & Continuous Improvement

Keep team apprised of roster issues and make recommendations to address them
Identify risks in current processes and bring them forward
Gather and consolidate feedback results and submit to the appropriate teams
Identify continuous improvement opportunities

Sourcing and Scheduling Learning Specialists

Analyze and map required skills for each training offering against the competencies and expertise of available trainers (including language skills)
Navigate complexity and ambiguity in matching Learning Specialists to offerings, considering evolving program needs, availability, and participant needs
Coordinate and schedule trainers, balancing multiple priorities and adapting to changes as needed

Business Relationships

Attend and participate in project planning meetings; provide feedback and recommendations
Act as point of contact for instructors prior to sessions
Serve as single point of contact for participants pre‑ and post‑session

Learner Experience – ensure best‑in‑class experience

Set up classes in Workday Learning
Manage rosters (registration, cancellations, attendance, completion)
Ensure all technology requirements are met prior to each session
Send pre‑session communications (directions, dietary info, etc.)
Schedule and source internal instructors where applicable
Process all vendor invoices and reconcile the budget quarterly

Cross-Functional Relationships

Collaborate with peers and management across the organization to identify and resolve business issues
Interact regularly with team members across CIBC up to Senior Management levels
Comply with all CIBC and Line of Business policies, standards, and guidelines

Compliance Requirements / Responsibilities

Must comply with all applicable CIBC and Line of Business policies, standards, guidelines, and controls

Authorities / Decision Rights

Recommend changes to business processes to enhance efficiency and effectiveness

Job Dimensions

Strong proficiency in Excel (formulas, PivotTables, conditional formatting)
Strong verbal and written communication and presentation skills (excellent ability to build executive presentations using PowerPoint)
