Skills and Specifications

  • Minimum of 1 year in a event coordinator role
  • Must have outstanding time management, organizational skills, and detail orientation
  • Must be selfmotivated and able to work with a high degree of autonomy
  • A professional manner with the ability to handle multiple demands with time sensitive deadlines
  • Must work well under pressure while remaining calm
  • Food and wine knowledge is an asset
  • Mac proficient knowledge of Microsoft Office including Excel and PowerPoint is required
  • Canva knowledge an asset
  • Ability to read, write and speak English Fluently
  • Ability to work under pressure and deal with stressful situations during busy periods
  • Ability to work evenings, weekends, and holidays
  • Caterease and touch bistro experience preferred but not required

Event Coordination Responsibilities

  • Main client contact from point of contract execution to event completion f
  • Provide site visits and tours with clients and vendors when necessary
  • Provide telephone or on site meetings with all wedding couples and other clients as requested or when necessary
  • Schedule and attend tastings with each wedding couple
  • Managing client payment schedule, process payments and record in caterease
  • Organize details as they relate to events e.g. bar arrangements, catering, floor plans, rentals, special requests, setup and service requirements
  • Manage budgets for all events ensuring that profit ratios are maintained
  • Create client floor plans and consult on other event planning such as timeline, suppliers, décor etc.
  • Suggest items to clients with the focus on business need, customer satisfaction and suggestive selling
  • Coordinate with Kitchen to provide all details necessary for ordering and execution of the menu
  • Communicate with Venue Manager and other team members to ensure correct staffing is in place for each event
  • Event execution and management
  • Communicate with all event suppliers regarding all questions, load
- in/out

  • Post event correspondence, reconciliation and closing of event files

Administrative

  • Preparing for and participating in weekly team meetings
- updating proposals, BEO's, Floor Plans and event specifics

  • Participate in weekly operations meeting and present the most up to date information to the management and catering team
  • Notifying all relevant parties of updates to event files in a timely manner
  • Advise and make recommendations to management with a focus on business needs and client feedback
  • Provide feedback to closing manager when necessary
  • Support administrative needs of the sales & marketing team when required
  • Work within Tripleseat to update all relevant event details
  • Identifying and implementing additional revenue streams for the business (décor, event add on's etc)
