BACKGROUND:


QAI laboratories is a testing, inspection and certification organization providing services to manufacturers of Electrical Products, Building Products, Vehicles, Electromagnetic Compatibility Factory Built Structures and more.

The Payroll and Accounting Administrator is responsible for the entire function of QAI's payroll.

This includes but is not limited to the day-to-day US and Canadian payroll duties such as answering inquiries from our team members, preparation of payroll, ensuring accurate and timely processing of bi-weekly payroll including reconciliation and reporting of monthly benefits, processing quarterly and/or annual remittances including tax forms, benefits, and worker's compensation, and maintain of QAI's employee information.


To be successful in this role, you must have a strong customer service attitude, be familiar with or become familiar with US and Canadian payroll legislation, have a PCP designation or a combination of experience and education, have ongoing professional development and be up to date with the payroll legislation.


DUTIES:
Under the direction of the Controller, this position will perform, but not limited to, the following duties:


Payroll Duties:


  • Sets up new hires, terminations, and updates employee information through the payroll systems.
  • Processes biweekly payroll for both the US (ADP workforce now and Kymberly) and Canada (ADP workforce now). This includes prepayroll preparation, timecard review, payroll reconciliation, employee profile updates, etc.
  • Process all payrollrelated Wage garnishment, terminations, leaves, ROE, and annual payroll audits.
  • Processes Yearend employee and subcontractor tax forms (T4, T4A, W2, 1099), OSHA 300, Automobile taxable benefits calculations, etc.
  • Communicate with and ensures the timely enrolment and administration of employees for group benefits and/or the pension plan (RRSP/401k).
  • Maintain current US and Canadian benefits deductions
  • Processes monthly Burnaby Headcount report from ADP
  • Assists new and existing employees on the use and issues of ADP.
  • Secure confidential records and adhere to payroll confidential agreements.
  • Other payroll duties as assigned by the Controller or her/his designee.

Accounting Duties:


  • Review and record Medical and other health benefit bills in QB (QuickBooks) for Canada and US benefits provider
  • Prepares monthly, quarterly, semiannually, and yearly reports and processes payments for WCB and Insurance related report requests such as: BC EHT, BC WCB, ON WSIB, QC CNESST, US State Fund and other report requests from QAI's Insurance providers.
  • Performs a variety of clerical support duties such as: filing and tracking employee expense claims; and maintaining various records and files in various systems.
  • Investigate and resolve issues; follow up with colleagues, vendors, department, and branch managers as needed.
  • Records payroll and benefit journal entries in QB.
  • Other Accounting duties as assigned by the Controller or her/his designee.
  • College diploma in a related field or possess Payroll Compliance Practitioner (PCP) certification
  • Have 12 years of accounting experience
  • Have 23 years of experience in fullcycle payroll
  • Have experience with US and Canadian benefit administration
  • Have accounting software experience or equivalent.
  • Knowledge of QuickBooks.
  • Proficient with Microsoft Office (Excel, Word, and Outlook)
  • Proficient in data entry and data management and ability to meet deadlines.
  • Highly organized with strong attention to detail and accuracy.
  • Excellent time management skills.
  • Excellent communication skills (oral and written).
  • Ability to use critical thinking.
  • Excellent customer service skills.
  • Results oriented.
  • Professional business acumen.

  • Experience with ADP workforce now
  • Familiarity with US benefits and legislation is an asset
