Position Overview:


  • Virogin's Operations Assistant is responsible for supporting the daytoday operations of the corporate service team, including purchasing and inventory management, material management and administration._

Duties and Responsibilities:

- _Generates/places purchase orders for office administration purchasing with vendors in a timely manner based on business needs_
- _Places purchase orders for office administration purchasing in the company's SAP ERP system. Attaches and maintains supporting documents_
- _Arranges downpayment requests for materials and assets purchasing in the SAP system_
- _Collects invoices from vendors_
- _Parks invoices and attaches invoices in the company's SAP ERP system_
- _Receive goods from the vendor's delivery_

  • Delivers products to the lab team
- _Carries out day to day reception activities including monitoring the front desk, greeting visitors, answering the phone, and appropriately redirecting inquiries and messages_
- _Monitor inventory of coffee, snacks and stationery and place orders if necessary_
- _Coordinates events for office staff, including social events and meetings_
- _Assists with collecting content for and compiling the Monthly Newsletter_
- _Arranges meetings for various departments; takes and distributes meeting minutes_
- _Website maintenance and content updates_
- _Conducts facility tours_
- _Maintains employee training records_
- _Administers reimbursement of general operations-related expenses in accordance with company guidelines_
- _Other duties as required_


Qualifications:

- _Bachelor's degree in a related field._
- _Experience in or knowledge of the biotechnology industry is preferred._
- _Event planning and customer service experience would be an asset._
- _Strong collaboration and interpersonal communication abilities._
- _Possesses strong organizational skills as well as excellent time management skills._
- _Superior attention to detail to ensure the accuracy of work product._
- _Strong computer proficiency in MS Office (Word, Excel, PowerPoint, etc.)._
- _Knowledge & experience working with SAP ERP would be an asset._

Schedule:

  • 8 hour shift
  • Monday to Friday
  • Weekends as needed

Supplemental pay types:
