Position Summary


Reporting to the Director - Infrastructure Development, the Manager - Space Planning & Stewardship supports the work of the Integrated Planning, Development, and Partnerships (IPDP) department within Facilities & Operations (F&O) by being an effective steward of University space.

This includes maintaining proper space inventories, managing changes to spaces, and transforming planning initiatives into defined project scopes (initiating conceptual design).

This role provides operational leadership in designing solutions for space and structural needs that link with the academic mission and the services that F&O provides.


The Manager - Space Planning & Stewardship will understand the University of Alberta's strategic direction in terms of space usage and seek to translate those strategies into operational or project deliverables.

This role operates in close alignment with the Institutional Strategic Plan, Integrated Asset Management Strategy, and Domino Plans, which require active contributions and seamless integration with the Strategic Planning unit.


The Manager - Space Planning & Stewardship, provides guidance and leadership in the development of project plans that put into practice the University's strategic framework for space stewardship.

They will oversee the implementation of plans to optimize existing assets, space guidelines and policies, general space programs, feasibility studies, functional programs and business cases.


Duties

  • Leads and designs the flow of facility planning activities through all phases of planning associated with space to support academic plans and experience.
  • Develops project scoping by outlining project needs, space alteration/renewal decisions and ongoing optimization of university assets, holdings, and overall infrastructure to ensure that the planning process is complete, flexible, responsive and effective.
  • Leads the development and assessment of comprehensive facility and space planning processes; creates easily understood documents and flowcharts.
  • Constitutes and works with standing and adhoc committees to ensure users' requirements and stakeholders' desires are articulated and balanced with institutional constraints of budget, timing, and operations.
  • Identifies stakeholder needs and evaluates options that would meet the emergent needs of the institution by developing feasibility studies and using relevant option evaluation tools.
  • Guides users by providing an understanding of constraints and opportunities regarding space, functionality, utilization and allocation.
  • Oversees scopes of work and provides advice to enable project funding and approvals.
  • Develops reports and presentations, on behalf of F&O, to the Government.
  • Ensures scopes and budgets of projects are understood and agreed to with Senior Leaders.
  • Anticipates issues, investigate, clarifies, informs and strives for balanced solutions with F&O's Senior Leadership Team, leaders across F&O, and other stakeholders.
  • Integrates space stewardship into the University project management framework by creating the initial project stakeholder requirements and translating these requirements into the project scope.
  • Prepares and presents material for consultation meetings with external stakeholders and the internal university community.
