Executive Assistant
What is the opportunity?
The Executive Assistant is responsible for managing the schedules and communications of the VP, Head of Shopping Experiences & VP, Enterprise Partnerships, which include:
- Maintain calendar of meetings, appointments and travel arrangements
- Process and monitor expense reports
- Manage projects as assigned
- Maintain all necessary administrative support needs for Data Office department
- Arrange meetings, create minutes and agendas as required
- Organize departmental events
What will you do?
- Executive Assistant Duties_
- Monitor calendar including scheduling of meetings, booking conference rooms, etc.
- Create and/or maintain documents and presentations in Word, Excel, PowerPoint and organization charts in Visio
- Submit expenses / track expense reports through expense reporting system
- Book and coordinate all travel (air/hotel/car, etc.), and maintain EY Global One portal for xborder travel to and from US/CAN
- Coordinate newhire setups with IT, Communications & Facilities
- Assist with completion of HR forms particular to region (US or Canada)
- Assist with planning and execution of staff events (Town Hall Meetings, staff outings, celebrations, etc.)
- Maintain vacation calendar of direct reports PTO days and copy record onto calendar
- Coordinate with external third parties for onsite visits and meetings
- Office Administration Duties_
For VPs' Direct Reports/Team:
- Occasionally:
- assist with on or off-boarding of consultants or FTE's
- assist with travel arrangements (air/hotel/car, etc.)
- assist with Facilities requests to building (furniture, equipment, access, environment (HVAC), etc.)
- prepare and submit expense reports for approval
- assist with sending of flowers, gifts for staff (celebrations / bereavement)
- draft and send correspondence
- Maintain vacation calendar
What do you need to succeed?
Must-have:
- Minimum 510 years of experience as an executive/administrative assistant.
- Ability to work independently
- Excellent organizational and follow through skills
- Strong computer skills, Excel, PowerPoint, Word, Visio
- Act as gatekeeper for Shopping Experiences and Enterprise Partnerships
- Ability to interface with all levels of staff
- Strong collaboration and relationship management skills
- Excellent communication (both written and verbal) skills
- Professional appearance, demeanor and telephone presence
- Knowledge of compliance requirements of HR
- General working knowledge of office equipment (printers, copiers, faxes changing of toner cartridges, troubleshooting, etc.)
- Undergraduate or Graduate Degree in Business, Accounting or Finance
Nice to have:
Financial experience helpful but not required.
