Purpose To support the operation of a community care, nursing clinic, serving ambulatory clients daily.

RESPONSIBILITIES:


  • The Administrative Support Volunteer helps to ensure the successful operation of the clinic
  • Welcomes and admits patients to the clinic according to appointment schedule provided
  • Answers phone in a timely manner
  • Records and keeps track of telephone messages
  • Organizes the reception area to support efficient and effective clinic operation
  • Maintains positive relationships with clients attending the clinic
  • Cares for the safety, privacy and confidentiality of client and client information at all times
  • Respects client privacy and adheres to confidentiality, privacy & other policies
  • Reports to supervisors in a timely manner.
  • Is familiar with and is able to follow and implement emergency procedures swiftly and independently

SKILLS, QUALITIES, QUALIFICATIONS & EXPERIENCE

  • Excellent interpersonal and communication skills (Listening, oral, and written)
  • Experience in an administrative support role
  • Clinic experience an asset
  • Excellent phone manner
  • Experience in telephone and inperson engagement an asset
  • Able to volunteer in person, in a small space
  • Able and willing to follow all infection, prevention and control requirements
  • Able to engage clients in conversation, and respond easily, creating understanding
  • Friendly, caring, reliable, compassionate, empathetic, tactful
  • Experience and sensitivity working with culturally diverse individuals and families
  • Able and willing to easily receive and follow instructions, policies, procedures and boundaries
  • Experience and ease engaging vulnerable people
  • Demonstrated ability to work independently and as an effective team member

TIME COMMITTMENT:


  • 4 hours/week plus travel time; 1 Shift is 4 hours in length
  • Shifts available daily, between 10am 6pm; Clinic closes 12pm 1pm for lunch, daily
  • Days/times to be agreed with volunteer, to create a regular, ongoing schedule
  • Able to commit for minimum of 12 weeks; longer if possible/desired
  • 100 Service Hours required for reference letter

WORKING CONDITIONS:

The Volunteer works independently in a small office and clinic space. Volunteer reports to and is supported by clinic nurses on-site Shifts occur in-person in an office/clinic environment.

PPE must be worn at all times All privacy, confidentiality and other policies must be strictly adhered to at all times; Volunteers must follow all infection prevention and control requirements at all times and must self-assess for COVID-19 prior to each shift and must continue to self-monitor throughout the volunteer shift.

BOUNDARIES:


  • No clinical activities performed by volunteers
  • No personal care given to clients by volunteers
  • No client contact, of any kind outside of volunteer shifts as scheduled with VHA
  • No giving of gifts, items, or food; Do not accept gifts from clients
  • Volunteers work within position description, policies, procedures, boundaries, and protocols at all times
  • Volunteers follow all VHA policies and procedures and work within the assigned role description

ORIENTATION, TRAINING & SUPPORT:


  • Orientation to the agency and volunteer program
  • Role orientation
  • Reports to nurses onsite on a regular basis
  • Supervisor will be available for feedback and support
  • Reports schedule and schedule changes to supervisor
