MINIMUM QUALIFICATIONS REQUIRED

  • Must have a secondary school diploma (DES) in an appropriate specialty, or a diploma or attestation recognized as equivalent by the competent authority.
  • Must have at least one (1) year of pertinent experience.
  • Must possess very good communication skills in English and in French (oral, written and comprehension).
  • Experience as a user with Microsoft Office is essential.
  • Must have excellent customer service skills and experience.

ROLE SUMMARY

SUMMARY

The principal and customary work of the employee in this employment class consist in receiving and forwarding telephone calls, following up on inquiries and performing a variety of administrative functions of a relatively complex nature according to established methods and procedures and clerical functions related to activities in his/her area.

DUTIES

  • Answers general inquiries and redirects students to those responsible for certain dossiers.
  • Professionally greets and directs visitors and students.
  • Assist with processing transcript requests.
  • Assist during the registration process of noncredit students as per Continuing Education protocols and procedures.
  • Collects fees and issues receipts as required.
  • Creates memos, documents, and letters as directed by the administration.
  • Enters data into required reports if need be, including Student Services newsletter.
  • Prepares the "inhouse" diplomas and certificates for graduation and for other activities.
  • May be asked to act as backup to code and forward accounts payables.
  • Reports building and photocopier related problems to Building Services.
  • Maintains uptodate filing systems: student files, final exams, etc.
  • Process and approves student pictures in their student life (Clara/Omnivox)
  • Orders office supplies as required.
  • May be asked to act as proctor or scribe when needed.
  • Assist both Registrar's office and Student Services with administrative related tasks.
  • Takes part of Student Services department events when required (Award night, Open house, graduation, etc.).
  • Performs other related duties as assigned by the administration.
