About the position


Reporting to the Terminal Manager, the Operations Administrative Assistant is responsible for performing day-to-day administrative and clerical tasks to support efficient operations and special projects.

What you'll do

  • Administrative duties, scanning, filing, Information, and document management (on line and hard copy records retention) and financial invoice coding
  • Open & distribute interoffice mail accordingly
  • Send & receive courier and faxes
  • Site purchasing support including creation of purchase requisitions and goods receiving
  • Order site supplies including stationary, printer supplies, coffee/tea supplies, business cards, safety protective equipment, etc.
  • Distribute office documentation/communication
  • SharePoint & training records upkeep
  • Maintain general office building focal point for gardener, janitor, uniforms and other specific building related vendor/suppliers
  • Other administrative duties as assigned
  • Provide support in audits & health checks on projects and programs (high level of confidential information managed)
  • Provide project tool training and support to team members

What we would like from you

  • Postsecondary degree or diploma
  • 35 years of relevant work experience
  • Excellent written and verbal communication skills
  • Knowledge and experience in the use of the various tools to aid program management.
  • High proficiency using the MS Office suite of programs
  • SAP Experience is an asset
  • Strong problemsolving skills with the ability to prioritize
  • Must be detailoriented and pay close attention to accuracy
  • Selfstarter who can take initiative and operate independently
  • Ability to multitask, maintain confidentiality, ensure attention to detail and stay organized within a busy work environment
