With the ever increasing demand for support and service in the auto industry, our Mini Ottawa location is looking for an experienced
Sales Receptionist.

- **Monday
  • Saturday 8:30am
  • 4:30pm **_

Responsibilities

  • Customer Advocate:
  • Record every service customer invoice in an Excel spreadsheet.
  • Call each service customer the day or two after their service to ask about their experience and note any feedback
  • If they had issues or complaints, note them, and bring them to a service advisor or manager to be followed up with and resolve
  • Record details of every call and customer feedback into the Excel spreadsheets.
  • Monitor customer survey responses and scores on InMoment
  • Create two daily reports to management about CSI survey scores, using the CSI
- _Daily report Excel spreadsheets_

  • In the afternoon/evening report, write a detailed list of calls answered or unanswered, with a description of each caller's feedback.
  • Business Admin:
  • Assist in licensing vehicles for sales in both Ontario and Quebec
  • Assist sales with completing sales transactions and logging all licensing transactions
  • Complete daily receipt submissions for the accounting department
  • Collect sales and service receipts and cross reference the POS machine breakdown to ensure all receipts are accounted for, then pass to parts for them to reconcile their receipts.
  • Receive and stock in new vehicles, manage keys and stock tags for new and used vehicles
  • Various other duties to assist in the functioning of both the service and sales department

Receptionist:

  • Answer calls for both service and sales department, direct them to appropriate persons or take messages as needed.
  • Assist in creating some service appointments in XTime

Qualifications

  • Previous experience in an administrative role
  • Deep passion and interest in human centered customer experiences
  • High attention to detail and able to work with mínimal supervision
  • Comfort working with all levels of staff and customers
  • Strong verbal and written skills and proficiency in English
Proficient in Microsoft Office Applications (Excel, Word, Outlook)


Pay:
$18.00 per hour

Education:


  • Secondary School (preferred)

Experience:


  • Customer service: 2 years (preferred)
  • Sales administration: 1 year (preferred)
