    Your opportunity:

    We aresearching for a service-oriented, resourceful professional to join our team as Academic Coordinator. Reporting to the Academic and Administration Team Lead, this role is critical to ensuring our academic operations run smoothly. The Academic Coordinator leverages strong organizational and problem-solving skills to support the administration of a variety of management and economics undergraduate programming by: managing the annual timetabling process, coordinating and supporting our significant network ofsessional lecturers, developing and maintaining procedures for the administration of academic calendars, preparing various reports and analyses related to teaching and enrolment planning, and developing, implementing, and analyzing processes which informservice delivery.

    Your responsibilities will include:

    • Coordinating course timetables, including collecting and organizing course and space requirements for scheduling and troubleshooting conflicts, analyzing course enrollment and waitlisted numbers, and recommending adjustments as needed
    • Coordinating the recruitment of sessional lecturers and/or stipend instructors, including preparation of payroll documents and tracking teaching loads
    • Recording, tracking and analyzing relevant administrative and financial data and metrics using a variety of systems and platforms
    • Administering the academic calendar, including managing reviews and updates, and keeping well-informed on changes to courses, program requirements, policies and procedures
    • Coordinating and facilitating meetings and presentations, including circulating information to senior staff and/or committees, to inform enrolment and curricular decision-making
    • Developing, implementing, documenting, and analyzing service delivery and/or internal processes and recommending improvements
    • Serving as a resource to others and responding to enquiries within the defined scope of the role and redirecting as appropriate

    Essential Qualifications:

    • Bachelor's Degree or acceptable combination of equivalent experience.
    • Minimum three years of related experience in post-secondary academic program administration, including experience in areas such as timetabling and/or academic scheduling, stipendiary/sessional lecturer coordination, and/or calendar administration
    • Experience using Student and/or Teaching Information Systems
    • Experience administering the CUPE 3902 Unit 1 and Unit 3 collective agreements
    • In depth working knowledge of University of Toronto's academic cycles, policies and procedures
    • Experience managing, reporting, and reconciling financial information in an academic environment
    • Experience with data collection and reporting
    • Experience working directly with faculty members, staff, and students, or similar constituents in an administrative and client service role
    • Exceptional attention to detail
    • Excellent time management skills with the ability to meet tight deadlines while multitasking and balancing conflicting priorities
    • Excellent interpersonal, communication (verbal and written), judgement, organizational and analytical/problem solving skills
    • Proficient technical and computer skills including databases, Microsoft 365 (Word, Excel, PowerPoint, MS Teams, SharePoint, OneDrive, etc.) as well as Adobe Acrobat Pro
