    RESPONSIBILITIES:


    Operating in the hotel and restaurant industry for nearly 50 years, Gray Collection is an award-winning collection of authentically local hotels and restaurants that provide travelers around the world with friendly luxury.


    Reporting to the Sales Director, the Sales Coordinator will be responsible for distributing incoming requests, as well as providing support to the sales department.

    We are looking for a dynamic, organized, motivated person who is eager to learn and develop.


    RESPONSIBILITIES:

    MANAGEMENT OF INCOMING REQUESTS

    • Ensure the management of incoming requests;
    • Ensure the adequate qualification of each request and carry out an efficient distribution;
    • Act as an ambassador for Gray Collection and its various establishments;
    • Identify customer needs and channel the transfer of requests according to established policies.

    ADMINISTRATIVE SUPPORT

    • Follow up on urgent and ongoing requests during the absence of account managers;
    • Ensure the accuracy of sales contracts before handing over operations;
    • Create accounts and contracts for the Sales team;
    • Administer data entry of sales activities related to incoming requests;
    • Create reservations in the OPEN TABLE system;
    • Assist the corporate account manager in various tasks, such as creating "Rate flyers", verifying the concordance and validity of rates with the systems;
    • Develop new administrative procedures to promote the efficiency of the department;
    • Ensure compliance with procedures for using internal systems;
    • Perform inventory control of promotional materials;
    • Generate reports for internal meetings.
    Assist Group Services as needed

    • Collect detailed information for meetings
    • Prepare purchase orders
    • Communicate information to all departments to ensure the smooth running of events
    • Follow up post-event with customers to collect their feedback

    • Ensure internal marketing tools are updated;
    • Ensure the education of incoming customers about our group and its establishments.

    QUALIFICATIONS:

    • Diploma of college studies (DEC) in administration, marketing, communication or equivalent training;
    • Have a minimum of one (1) year of experience in a similar position;
    • Experience in a hospitality field, an asset;
    • Good knowledge of the Microsoft Office Suite and hotel computer systems such as Opera, an asset;
    • Excellent sense of organization and resourcefulness;
    • Demonstrated aptitude for customer service;
    • Excellent communication skills, in French and English, both oral and written.
