Administrative Support Clerk

Purpose:
The Maritime Aboriginal Aquatic Resources Secretariate (MAPC-MAARS)

Administrative Support Clerk (ASC) provides support primarily to the Executive Director of MAARS & MAPC Projects for the day-to-day operations of the organization.

The ASC is also the primary point of contact for the sale of commercial fishing logbooks and tags and ensures adequate and accurate levels of stock appropriate for a given fishery.

The ASC will also support the overall functionality of the office by ensuring that office supplies and general office equipment are fully supplied and functional.

On occasion, the ASC may be requested to support team members in the preparation of documentation or other meeting materials and/or planning special events.


Requirements:


  • Detailoriented
  • Strong written and verbal communication
  • Wellorganized and able to multitask
  • Proficiency with MS Office Suite (Word, Excel, Outlook primarily)
  • Excellent time management skills
  • Able to lift up to 50lbs for short periods of time

Assets

  • Basic financial literacy
  • Familiarity with Grants and Contributions
  • Familiarity with Sage Accounting software
  • Familiarity with commercial fishing species, seasons, and/or areas
  • Knowledge of the rural, urban and offreserve Indigenous population and issues
  • Familiarity with office equipment, such as postage metre, photocopier, shredder

Responsibilities:


  • Point of contact for ordering and supplying fishing tags and logbooks o Sales o Process payments o Inventory control, placing inventory as required o Liaise with new customers, representatives from Fisheries and Oceans Canada, and suppliers
  • Basic data entry for daytoday financials o Prepare payments and/or transfers via online banking portal
  • Answer and direct phone calls
  • Schedule or cancel appointments and meetings
  • Attend meetings (as required) o Record, transcribe, and distribute meeting minutes
  • Maintain and update mailing lists; organize and implement mass mailings
  • Prepare, process, update, and compile routine documents, records, and reports
  • Maintain filing systems and logs
  • Maintain inventory of office equipment and supplies
  • Maintain contact lists
  • Coordinate travel arrangements
  • Open, sort, and distribute mail
  • Assist in arranging special events

Position details:


Annual salary:
$39,000 - $42,000


Hours:
Monday to Friday with some flexibility)
Some weekends may be required with advance notice - time off in lieu will be provided

Truro, NS

MAARS:

The Maritime Aboriginal Aquatic Resources Secretariate is an Aboriginal Aquatic Resources and Oceans Management (AAROM) body funded by Fisheries and Oceans Canada (DFO).

We are a partnership of the Aboriginal Peoples Representative Organization Councils:

New Brunswick Aboriginal Peoples Council, Native Council of Prince Edward Island, and Native Council of Nova Scotia who represent the vast community of Mi'kmaq, Wolostoqiyik, and Peskotomuhkati Status and non-Status Aboriginal Peoples continuing to reside on their traditional ancestral homelands throughout the provinces now known as Nova Scotia, New Brunswick, and PEI.

MAARS works on behalf of the partner Native Councils to collectively advance the rightful share of Atlantic aquatic resources for the sustained economic growth of the Maritime Aboriginal Peoples.
