Reporting to Major Accounts & Special Projects

  • Liquid East, the Customer Service & Industrial Services Administrator will provide administrative support for the Liquid East Industrial Services team.

Key Responsibilities:

Related to Customer Service
Create & release work orders
Assist with preparation of quotations and/or quotation add-ons
Schedule & confirm jobs with customers
Push for release of workorders placed on credit hold with Accounting
Assist Sales/Operations with off-specs
Support customers with documentation requirements
Direct customer requests regarding regulator questions or changes
Invoicing

Related to Operations/Projects
Assist with preparation of quotations and/or quotation add-ons
Work with dispatchers and billing clerks from various offices to track and collect paperwork components of projects involving multiple GFL service yards;
Work with dispatchers, field staff and other team members to perform verification of field data accuracy and generate project based draft billing packages for CSR team
Coordinate with subtrades and contractors to permit and schedule the inclusion of subcontracted work in billings (includes ensuring POs are provided to any contractors)
Prepare, organize and coordinate client and/or site-specific contractor training and orientation prior to job commencement
Visit customer sites on occasion as may be necessary to pick up samples or assist a Supervisor or others in project scope assessment
Filing and documentation of purchasing receiving paperwork
Other tasks as assigned


Knowledge, Skills & Competencies:

Post-secondary education (College Diploma or University Education) or equivalent experience
Minimum 2 years' experience in office administration, experience in transportation or construction industry setting would be an asset;
Knowledge of Occupational Health and Safety, Ministry of Transportation and Ontario Waste Regulations would be an asset
Minimum intermediate level proficiency in Microsoft Outlook, Word, Excel
Minimum 65 WPM typing speed with accuracy
Effective verbal and written communicator
Ability to prioritize work activities and use time efficiently
Ability to manage change, delays, or unexpected events and work in an environment with constant change
Strong initiative and personal drive
Must be motivated, able to multi-task, and work effectively in a team environment;
Must be detail oriented and results oriented;
A professional, courteous and welcoming manner - both in person and on the telephone
Valid G License with personal vehicle
