Reporting to the Director of Admissions and Learner Recruitment, the Admissions Coordinator plays a key role within the Unit as it specializes in managing, analyzing, and documenting data related to the admissions and recruitment processes.

This position demands a strong analytical mindset, attention to detail, and the ability to interpret and present data to support strategic decision-making within the admissions and learner recruitment office.

This position is covered by the Terms and Conditions of the OPSEU Unit 677 Collective Agreement (Unit 2). A copy is available on the NOSM University website.


Responsibilities:

Tasks may include but are not limited to, the following:

  • Oversees the collection, organization, and maintenance of admissions and recruitment data, ensuring accuracy and completeness.
  • Ensures adherence to Data Governance and Stewardship principles set out by the University to ensure the integrity of the admission and recruitment data.
  • Compiles and analyzes admissions and recruitment data to generate reports, statistical summaries, and insights for internal and external stakeholders. Presents findings to support evidencebased decisionmaking.
  • Utilizes data modelling to present future state changes in process to support evidencebased decisionmaking.
  • Implements Document Management and FIPPA policies in the storage and maintenance of all Admissions and Recruitment Documents both paperbased and digital.
  • Develops and maintains comprehensive and organized documentation of the admissions and learner recruitment office process and policies, including applicant profiles, decision outcomes, and trends over time. Coordinates secure sharing of documents with appropriate staff/committees/volunteers.
  • Implements and monitors data standards processes to ensure data integrity and consistency in admissions records
  • Identifies opportunities for process improvement within the admissions and learner recruitment office and implements changes to enhance efficiency and effectiveness.
  • Collaborates with IT and portfolios across the university to optimize data collection systems and tools. Works closely with admissions and learner recruitment staff to ensure data needs are met.
  • Ensures adherence to data protection and privacy regulations in all aspects of admissions data management.
  • Provides training and support to admissions and learner recruitment staff on the processes and the systems in which the data in stored.
  • Assists the Admissions and Learner Recruitment Unit in meeting its objectives by focusing on student service that is delivered in a way that is sensitive to a variety of diverse cultures in a highly technological manner.
  • Supports the Office of Admissions and Learner Recruitment in all initiatives as required.
  • Performs other duties as assigned.

Qualifications:


Education:


  • An undergraduate degree in a related field of study from a recognized Canadian institution with accreditation or an equivalent combination of education and experience is required.
  • Minimum of three (3) years of relevant experience is required.

Knowledge, Skills and Abilities:


  • Experience in data management and statistical analysis
  • Experience with or understanding of University admissions and administration policies and procedures is an asset
  • Experience coordinating various tasks under tight deadlines.
  • Demonstrated knowledge of the best practices relating to data and record keeping.
  • Demonstrated knowledge of the Freedom of Information and Privacy Act
  • Strong organizational and documentation skills
  • Excellent attention to detail and accuracy
  • Effective communication skills, with the ability to convey complex data clearly and understandably
  • Understanding of postsecondary education environment and health care education systems
  • Knowledge of office best practices and procedures related to admissions, recruitment, and committee work
  • Ability to work within established organizational practices, protocols and policies
  • Ability to work collaboratively as part of a team in a highly technological environment
  • Ability to maintain confidentiality and use sound judgment in decisionmaking
  • Understand the concept of conflict of interest

Language:


  • Must be able to communicate effectively in English (verbally, written and comprehension)
  • French/Indigenous language skills would be considered asset
