Job Overview:


  • Reporting to the Manager, Investment Properties Administration, the

Investment Properties Administrator supports the Operations and Accounting teams to enable the work of the group to run smoothly. This is the ideal role for someone with an interest in administration and accounting looking for an opportunity to build experience with a professional and dedicated team, and/or someone working towards a Rental Property Manager license.

Contract Length and Schedule:


3-month contract, Full Time

Key Responsibilities:


  • Set up and organize physical and digital folders following a standard folder structure.
  • Maintain electronic and physical records systematically in the filing system.
  • Perform general administrative tasks and handle accounts receivable for assigned portfolios.
  • Set up new tenancies and data entry of rental payments, deposits, and charges into Yardi Voyager.
  • Utilize various software to submit data approved by the Property Manager and meet ownerset deadlines.
  • Handle data entry, filing, communications, and mail distribution.
  • Generate correspondence using templates and custom wording, including tenant letters, building notices, and welcome packages.
  • Communicate with contractors, suppliers, government entities, and regulators (BC Hydro, Fortis Gas, municipalities) during property portfolio changes.
  • Prepare rent increase reports, issue rent increase notices, process security deposit refunds, manage property tax and insurance payments, and address inquiries from caretakers and tenants related to rental payments and charges. Additionally, perform other duties as needed within the division.
  • Empty Home Tax Declaration and Speculation Tax Declaration tracking and notification to owners

Skills and Qualifications:


  • Minimum one year of experience in an Administrative or Junior Accounting role handling confidential information, multiple commitments and stringent deadlines is preferred
  • Strong customer service focus, excellent IT skills and is a quickstudy who enjoys a fastpaced, varied environment.
  • Working towards a property management license and looking to gain experience in the property management industry is an asset
  • Demonstrate excellent time management, critical thinking, and problemsolving skills, while creating great relationships within the team
