We are looking for an experienced Document Controller to join a growing team in our Toronto office for the Ontario Line / RSSOM project.     About the Project

    The Rolling Stock, Systems, Operations and Maintenance (RSSOM) project is one of many contracts to deliver the Ontario Line, a 15.6-kilometre stand-alone rapid transit line that will connect the Ontario Science Centre to Exhibition/Ontario Place.

    The Role

    Reporting to the Document Control Manager (DCM), the Document Controller will be responsible for assisting the DCM in maintaining project documentation within project requirements.

    Responsibilities

    • Ensure all technical documents such as reports, drawings and blueprints are collected and registered in the document control system
    • Scrutinize and input document data into the document control system, ensuring that the information entered is always accurate and up to date
    • Prepare and check the accuracy of document transmittal sheets generated by the system
    • Use the selected document management system for everyday operations, maintenance and quality control
    • Notify employees of updated document versions and how to access them
    • Ensure that the confidentiality of sensitive information is protected and handled according to procedures/instructions
    • Organize and maintain all documentation pertaining to the project; including RFI's, DCN's, NCR's submittals and drawings etc.
    • Assist with verification, registration, filing and control of incoming and outgoing documentation
    • Interfacing with the project team to maintain the control of documentation
    • Assist in audit verification of documentation to ensure project files are current and labelled correctly
    • Maintain records of incoming document transmittals and prepare outgoing transmittals and packages
    • Assist in creation/communication/implementation and maintenance and document control reporting
    • Perform project database input and word-processing functions
    • Assist in maintaining a project RASCI (distribution) Matrix
    • Providing support to all project participants including external parties with document control practices for project documentation

    Qualifications

    • A four-year degree is preferred, however a two-year technical degree augmented with courses and/or seminars in engineering change control, change requests, contract administration, project management, is acceptable
    • Five years of document control experience supporting an engineering and construction project, preferably in the public-sector
    • Proficiency with electronic Document Management System particularly Aconex is required
    • Proficiency with Microsoft Office Suite of software is required.
    • Proficiency with Adobe Acrobat is required
    • Complete understanding of construction documents
    • Excellent interpersonal communication skills
    • Ability to work individually or as part of a team
