Reporting to the Director, Real Estate and Property Management, the Project Manager is responsible for administrative and project coordination for their designated department.

Responsibilities include, but are not limited to planning, monitoring and documenting tasks throughout various projects, maintaining different project budgets, and accessing funding for projects.

This position works closely with the Real Estate and Property Management team


DUTIES AND RESPONSIBILITIES

  • Manage project lifecycles of various key projects from start to finish, such as defining project objectives, setting goals and timelines, and resolving problems as they arise.
  • Track project progress, identify potential issues, and proactively communicate with stakeholders to resolve them.
  • Manage the project budget, including tracking expenses, forecasting costs and ensuring the project stays within allotted budget.
  • Ensure all tasks, deliverables, and project materials within the scope of the project outline are delivered promptly.
  • Document and update project records and files, ensuring easy accessibility and compliance, using various project management tools.
  • Prepare project and documentation status reports, highlighting key milestones, budget updates, and any deviations from the plan.
  • Coordinate availability and the procurement of internal and external resources necessary for successful project execution.
  • Foster effective communication with internal/external stakeholders relating to project status.
  • Identify potential risks and strategically eliminating any blockers or potential risks relating to project execution.
  • Monitor contracts, and moving forward with extension, closeout, or renewal of contracts.

POSITION QUALIFICATION

  • Postsecondary degree with educational experience in data analysis, project management, business, or a related field
  • A minimum of two (2) year working as a Project Manager or equivalent role; experience with construction projects is an asset.
  • Project management certification like CAPM or PMP is preferred.
  • Excellent organizational and time management skills with the ability to prioritize and meet deadlines.
  • Ability to present reports, data, and results in a professional manner.
  • Experience managing documentation and client records in an organization database and ensuring compliance with regulations, legal and ethical standards.
  • Excellent computer skills including proficiency in Microsoft Office, including SharePoint, Outlook, Word and Excel.
  • Must be qualified to work in Canada legally for the employer.
  • Able to provide a Vulnerable Sector Screening check with a 'Clear' or satisfactory result that meets the operational requirements of the Agency.
  • Must have uptodate vaccinations on COVID19 with a vaccine that has been approved for use in Canada.

WORKING CONDITIONS

  • Nearly always required to work indoors; exposure to fluorescent lighting; occasionally exposed to loud noises (i.e. office copiers).
  • May share office space with other Managers and Team Members.

PHYSICAL REQUIREMENTS

  • Able to manipulate keys on a computer keyboard
  • Sedentary; the majority of work required will be accomplished while sitting at a desk, in meetings, or working at a computer (75%).
  • Able to lift loads weighing up to 20 kg.
  • Able to travel between program sites within the city that are separated by significant distances.
