    About the Role

    The Undergraduate Programs Secretary contributes to the effective operations of the Academic Success & Curriculum Office in the Beedie School of Business Undergraduate Program by providing exceptional customer service to students, faculty, staff, stakeholders, and partners. The Secretary ensures administrative and clerical support, specifically to academic advising services, programs, events, and communications required for the management and administration of the undergraduate programs and services. Duties include: acting as the primary resource and contact person; providing standard office communications and online communications support; scheduling appointments; triage; creating and maintaining accurate databases, records, and statistical summaries; administering student records processing for students; maintaining an inventory of supplies and promotional materials; providing a range of secretarial and clerical support services for committee, events, workshops, and special events; data collection and compilation; and coordinating, administering, and/or providing assistance for various undergraduate program responsibilities each term.

    Qualifications

    High school graduation and two years of post-secondary education with training in database, spreadsheet, and word applications, and office procedures. 2 years of experience. An equivalent combination of formal education, certificate/program of study and experience is acceptable.

  • Ability to use database, spreadsheet, word processing, presentation, and data visualization applications (e.g. MS Word Suite, Tableau, Outlook, etc) at an intermediate level.
  • Ability to use enterprise level information systems (e.g., PeopleSoft, FAST, SIMS) at an intermediate level.
  • Ability to work independently, prioritize work and complete a high volume of work within deadlines.
  • Excellent prioritization, organizational, time management, and problem-solving skills.
  • Excellent oral, written and interpersonal communication skills, and customer service skill.
  • Excellent knowledge of grammar, punctuation, spelling, and composition.
  • Excellent knowledge of standard office practices, methods, and equipment.
  • Ability to work cross-culturally with people of diverse backgrounds.
  • Ability to exercise mature judgment, initiative and creative problem-solving.
  • Ability to work with confidential/sensitive material with discretion.
  • Ability to work as a member of a team.
