Description
The HR Specialist will be responsible for overseeing the HR and Payroll functions for all companies within the Prica umbrella.
Primary Responsibilities
Human Resources
- Administration_
- Input and maintain employee information in the HRMS/Payroll systems
- Update multiple tracking spreadsheets including but not limited to: employee list, salary bands, training matrix, benefits, equipment, performance reviews etc
- Update the HR calendar with employee birthdays, probation end dates, contract end dates, performance review dates and service anniversaries using reminders to managers
- Scan and upload employee documents into confidential HR drive and HRMS system
- Maintain complete and uptodate paper and electronic personnel records including filing documentation
- Create fillable forms and conduct general formatting corrections for documents
- Assist the department in creating, running, and auditing of reports from HRMS/Payroll systems
- Download and save WSIB clearance reports quarterly
- Update organizational charts as requested
- Inventory management of onboarding swag Create and provide letter of employments for employees
- Complete employment verifications
- Run/create reports and conduct analysis of data for HR Metrics/KPI reviews
- Assist with reception coverage as required
- Recruitment_
- and Staffing_
- Evaluate recruitment and selection criteria to ensure conformance to professional, statistical, and testing standards, recommending revision as needed
- Lead the creation of a recruiting and interviewing plan for each open position
- Develop job descriptions, job positions, policies, and procedures in conjunction with hiring manager
- Utilize the Internet for recruitment, post positions to appropriate Internet sources
- Network through industry contacts, association memberships, trade groups and employees Provide information on company, facilities, job opportunities and realistic job previews to potential applicants as necessary
- Receive and screen resumes, schedule and conduct prescreen interviews, facetoface interviews and conduct reference checks
- Conduct regular followup with managers to determine the effectiveness of recruiting plans and implementation Contact applicants to inform them of the status of their employment possibilities, consideration, and selection
- Administer and execute all recruitment, selection and staffing of the company's Coop students
- Efficiently and effectively fill open positions

- Assist with organizational and departmental compensation & budget planning
- Analyze and recommend compensation adjustments as needed
- Conduct industry compensation research analysis
- Administer and analyze all company group benefit programs (RSP, EFAP, Heath/Dental, etc ) including but not limited to: general paperwork administration, enrolments, employee updates, communication, terminations, audits etc
- Create and submit T10 filings in relation to the RSP program quarterly
- Administer and track disability management such as WSIB, leaves, etc.
- Training & Development_
- Execute new employee onboarding ie: training, tours, desk setup, paperwork, equipment, etc...
- Train new HR employees
- Schedule employee training sessions and prepare documentation for training (printing, booklet acquisition, equipment acquisition etc )
- Facilitate training sessions on Workplace Violence and Harassment, Accessibility, WHMIS, and Time & Attendance
- Research and recommend new training programs/initiatives
- Develop training manuals for HR/Payroll department processes and procedures
- Performance Management_
- Create and deliver skills rating forms for performance reviews to managers
- Followup with Managers on completing documentation for performance reviews and compensation adjustment recommendations
- Assist with performance review meetings and documentation of reviews
- Create performance management strategies and initiatives
- Recommend performance management improvement plans and assist managers with implementationC
- Employee Relations_
- Maintain an opendoor policy for employees
- Respond to all HR or payroll inquiries from employees to the best of their knowledge, escalating to the HR Manager as needed
- Communicate with managers and employees regularly to establish rapport and gauge morale
- Available for onsite execution related to employee issues including but not limited to conflict resolution, mediation, disciplinary action, terminations, exit interviews, outplacement, etc
- Policies & Programs_
- Assist with development and implementation of HR processes, procedures, and policy initiatives
- Aid with the administration and implementation of all company programs including but not limited to: Health & Safety, Education Assistance, Professional Fee Reimbursement
