Description
We are currently seeking an experienced Real Estate Deal Secretary/Administrator to join our established brokerage. This role requires you to be in the office full-time where you will work within our existing deals department. Our brokerages is a multi-location mid-size company and we take pride on having an efficient back office support staff.


The responsibilities of this role will entail the following:

  • Processing real estate deal transactions
  • Creating trade record sheets
  • Finalizing deals and preparing cheques
  • Entering deals using SkySlope & Lone Wolf accounting system (or familiarity with similar software systems)
  • Following up and collecting outstanding documents from agents
  • Preparing and sending invoices to cooperating brokerages & builders for commission
  • Payroll, agent monthlies & banking
  • Following up on outstanding commissions + invoices to builders
  • Corresponding with real estate agents, brokerages, builders, and lawyers
  • Preparing trust account reconciliations
  • Uploading documents into a paperless system
  • Coordinate administrative staff and activities
  • Coordinate training and compliance activities
  • Other duties as assigned

Qualifications:


  • Strong knowledge of LoneWolf Backend Systems
  • Strong knowledge of SkySlope transaction management software
  • Understanding of the real estate deals process
  • Payroll, book keeping & basic accounting
  • Proficient knowledge of Microsoft Office (Word & Excel)
  • Strong data entry skills
  • Efficient time management skills
  • Excellent written and verbal communication skills

Experience:

Deal Secretary: 3 years (required)

  • Administrative experience: 2 years (preferred)
  • Experience in real estate brokerage administration is highly preferred
  • Commensurate depends on skill & experience
