Description
We are currently seeking an experienced Real Estate Deal Secretary/Administrator to join our established brokerage. This role requires you to be in the office full-time where you will work within our existing deals department. Our brokerages is a multi-location mid-size company and we take pride on having an efficient back office support staff.The responsibilities of this role will entail the following:
- Processing real estate deal transactions
- Creating trade record sheets
- Finalizing deals and preparing cheques
- Entering deals using SkySlope & Lone Wolf accounting system (or familiarity with similar software systems)
- Following up and collecting outstanding documents from agents
- Preparing and sending invoices to cooperating brokerages & builders for commission
- Payroll, agent monthlies & banking
- Following up on outstanding commissions + invoices to builders
- Corresponding with real estate agents, brokerages, builders, and lawyers
- Preparing trust account reconciliations
- Uploading documents into a paperless system
- Coordinate administrative staff and activities
- Coordinate training and compliance activities
- Other duties as assigned
Qualifications:
- Strong knowledge of LoneWolf Backend Systems
- Strong knowledge of SkySlope transaction management software
- Understanding of the real estate deals process
- Payroll, book keeping & basic accounting
- Proficient knowledge of Microsoft Office (Word & Excel)
- Strong data entry skills
- Efficient time management skills
- Excellent written and verbal communication skills
Experience:
Deal Secretary: 3 years (required)
- Administrative experience: 2 years (preferred)
- Experience in real estate brokerage administration is highly preferred
- Commensurate depends on skill & experience
