Duties and Responsibilities:


Reporting to the Assistant Director, Operations and Planning, the incumbent is directly responsible for the administration of the Print Shop financials and the daily operation/coordination of the Multifunctional printer fleet.


The incumbent is responsible for the reconciliation of The Print Shop cash receipts and the coordination of the payment of all accounts payable invoices.

The incumbent also coordinates other Print Shop administrative functions such as completing payroll for part time staff, monitoring and validating full time staff monthly leave reports and reconciling the purchasing card statements for the Print Shop staff.


The incumbent is directly responsible for the coordination of both the administrative and public (CU on the GO) multifunctional printer fleet.

This fleet is comprised of 150 administrative devices and 35 public devices.

The incumbent supports the front desk operations and digital print division by providing front desk support as necessary.


The incumbent is responsible for administrative support for Mail Services such as Pcard reconciliation, leave reporting and monthly reconciliation procedures.


The incumbent is responsible for administrative support for the Bookstore such as billing Follett for salaries and monitoring commission payments.


Qualifications:


The incumbent must possess the following qualifications:

  • The duties of the position require communication, analytical, problem solving, time management, and administrative skills.
  • Interpersonal and organizational skills are extremely important, as the position involves extensive contact with campus administrators and attention to a multitude of tasks.
  • The incumbent must have expertise and experience in the print industry and in depth knowledge of multifunctional devices.
  • This position is required to understand technical details surrounding both administrative MFD devices and digital/offset devices. This includes an understanding of MFD capabilities, network architecture, MFD diagnostic software, correct interpretation of user job requirements into technical directions for production staff, file requirements for correct printing of submitted material and the capabilities of digital, offset and large format printers in The Print Shop.
  • Responsibility for accounts payable and accounts receivable, the position requires knowledge of accounting practices and exceptional attention to detail.
  • In order to complete administrative tasks required of this position, a strong working knowledge of Microsoft Office suite, FAST and eShop is required. Knowledge of Papercut print management and Carleton's print network environment is strongly preferred.
  • The position requires resourcefulness and initiative in developing new procedures, dealing with constantly changing information and technological requirements, and the ability to coordinate the needs and activities of a wide variety of people.

Education and Experience:


The above is normally acquired through:

  • The completion of a three-year undergraduate degree/diploma in accounting or business.
  • A minimum of three years of combined administrative, accounting and printing experience, preferably at a postsecondary institution.
