Your opportunity:


The UTM Career Centre utilizes a student-focused approach to help students develop career management skills that they can use throughout their life.

Each member of the team contributes, individually and collectively, via their specific role and by supporting others to meet the Centre's overall mission and goals.

Under the supervision of the Director, this role assists with the maintenance and configuration of existing systems, administers staff account access, assigns roles and permissions and supports staff in the investigation and implementation of additional systems.

For existing systems, the role is the first point of contact for users who have issues with systems or access, triages as appropriate, and maintains the issue/bug log for the UTM campus.

The incumbent in this role provides system orientation to new users, provides input into documenting processes, and assists in the delivery of training sessions.

Working with business officers, the Assistant verifies Moneris payments made in systems, and reconciles discrepancies. The Assistant performs regular data quality checks, updates data in systems to ensure data integrity is maintained. The incumbent provides input into streamlining procedures.

Working with the Student Affairs and Services (SAS) Project Manager and the Career Centre's Business and Operations Coordinator, the Assistant supports the implementation of new systems for the Career Centre and SAS with data/information mapping, gap analysis, testing and training.

The role updates content, pulls reports, and configures surveys.


Your responsibilities will include:


  • Acting as the first point of contact for general enquiries
  • Resolving issues within the scope of the role and escalating problems as required
  • Testing and analyzing new and upgraded software and/or hardware
  • Training endusers on procedures and the use of supported IT systems
  • Troubleshooting issues uncovered by testing or user feedback
  • Following rules and procedural processes related to Freedom of Information and Protection of Privacy Act (FIPPA)
  • Serving as a resource to others by providing (nonsupervisory) jobrelated guidance

Essential Qualifications:


  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
  • Minimum three years experience.
  • Experience working in a multiproject role, with simultaneous deadlines.
  • Experience troubleshooting issues and developing technical solutions to resolve enduser issues.
  • Experience with Universal Design principles, including AODA compliance, to uphold the University's commitment to diversity and equity.
  • Experience training endusers on procedures.
  • Experience with student facing systems.
  • Strong written and oral communication skills
  • Strong time management and organizational skills to effectively handle multiple projects
  • Strong problem solving skills with technical systems and platforms
  • Ability to work effectively with detailed projects
  • Strong team work skills
  • Ability to translate knowledge to teammates who have a variety of backgrounds and technical abilities
  • Able to adapt to new information and situations
  • Strong ability to take initiative while working in a team environment

Assets (Nonessential):


  • Bachelor's Degree, including disciplines that foster project management and communication skills
  • Experience using Sharepoint, Microsoft Office Suite and Adobe products
