About the Role

  • Effectively manage VP of Sales' schedule and Sales Team meetings, including scheduling meetings, maintaining organized meeting minutes, and tracking action items.
  • Coordinate business travel arrangements for Sales Team and complete expense reports.
  • Generate Rights Availability reports from Rights Management System (FilmTrack) and format Excel reports according to Sales Team's preferences.
  • Keep Client Relationship Management (CRM) system (Salesforce) updated with accurate and timely information, incorporating client feedback on key titles, and tracking opportunity status.
  • Keep informed of industry trade news and maintain internal trackers and CRM with uptodate client information to help inform future opportunities.
  • Facilitate a seamless flow of information across departments including marketing, operations, legal and development.
  • Assist Sales Team with superb customer service by helping clients with any issues, or material requests quickly and professionally.
  • Collect approvals, ratings, and airtimes from clients as needed to support Sales Team, PR Team for press releases and Marketing and Franchise groups.

Qualifications

  • Experience in Administrative support including Sales, Marketing, TV Content Operations and/or Media planning preferred.
  • Familiarity with Rights Management Systems (example: Film Track), and/or Client Relationship Management software such as Sales Force an asset.
  • Exceptional interpersonal skills and ability to communicate effectively both verbally and in writing.
  • Demonstrated client service and relationshipbuilding skills, ensuring a positive and lasting impact.
  • Highly organized and detail oriented, with the ability to prioritize and manage time effectively to meet deadlines
  • Proficient in Microsoft Excel, including demonstrated ability to use Excel functions and formulas such as index match, vlookup and macros to streamline information in rights availability reports.
  • Complete professionalism in representing the department, maintaining a high standard of conduct and confidentiality.
  • Proven ability to excel as a selfdriven individual contributor and as a dynamic team player in both in person and remote settings.
  • English / French / Spanish multilingualism an asset
