Job Summary


Reporting to the Executive Director, this position is responsible for providing administrative support to the Executive Director and assisting with organizational meetings, events, projects and tasks based on the needs of the leadership team.

Additionally, this position provides a small amount of focused administrative support to the Manager of Human Resources and Operations.


Job Functions and Responsibilities

Executive Administration

  • Provides administrative support to the Executive Director and other senior leadership team members as directed.
  • Manages the Executive Director's calendar including scheduling meetings, communicating changes, and keeping the calendar up to date.
  • Organizes meetings and professional development for the leadership team and Board, attends meetings, coordinates refreshments as required, and takes and circulates minutes.
  • Assists with strategic projects as required by the Executive Director.
  • Proactively engages with leadership and staff in planning and organizing internal events and activities. Coordinates logistics including booking venues and arranging catering, technology, speakers, communication, materials, and evaluation.
  • Books travel arrangements and registers the leadership team for conferences and events.
  • Prepares background documentation, summaries and research based on the needs of the leadership team.
  • Drafts and proofreads documents, reports, agreements, and correspondence.
  • Prepares presentations and other materials.
  • Prepares expense reports and liaises with the Finance team on invoices.
  • Organizes information and documents ensuring accessibility for team members.
  • Builds internal and external relationships and presents a positive and professional image.

Human Resources Administrative Support

  • As time and priorities allow, assists the Manager of HR & Operations with the following:
  • Accurately maintaining up-to-date employee digital files in HRIS.
  • Serving as the backup for the Manager on training & development sessions for staff.

Dimensions


The role of Executive Assistant is a critical support to the Executive Director and provides some focused assistance to the Manager HR & Operations.

Responsibilities range from calendar management to coordinating meeting and event logistics and assisting with projects.

This position develops positive relationships with staff and a variety of stakeholders, projecting a professional image and providing excellent service.


Qualifications

  • Postsecondary diploma or degree preferred.
  • Five (5) years of experience in an administrative support role, preferably with senior leadership, or an equivalent combination of education, training, and experience.
  • Selfmotivated with highly developed organizational skills and attention to detail.
  • Ability to develop and maintain positive working relationships in an inclusive environment.
  • Strong time management skills with ability to prioritize and complete multiple tasks and assignments, meet deadlines, and ensure high quality work in a fastpaced environment.
  • Excellent communication skills: writing, speaking, and listening.
  • Demonstrated ability to prepare professional reports and communications.
  • Excellent judgment and discretion in dealing with confidential information.
  • Demonstrated ability to plan and execute events.
  • Service orientation: enjoys working with and helping others.
  • Proficient with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Experience in the field of services to children, youth and families would be an asset.

Working Conditions


The Executive Assistant is a permanent part-time (0.8 FTE) position in Abbotsford with hybrid work options, within a strong value-based organizational culture.
