A Day In The Life

Key duties and responsibilities include but not limited to:


Facility Maintenance and Management:


  • Supervise and coordinate maintenance activities, including HVAC systems, electrical, plumbing, and general building repairs.
  • Conduct regular inspections to assess facility conditions and uphold safety and environmental standards.

Space Planning and Utilization:


  • Collaborate with various departments to understand spatial needs and plan for optimal space utilization.
  • Oversee office relocations, renovations, and expansions with mínimal disruption to daily operations.

Vendor Management:


  • Manage relationships with external vendors and service providers, negotiating contracts and agreements for facilityrelated services.
  • Ensure vendor adherence to service level agreements and maintain high performance standards.

Budget Oversight:


  • Develop and manage the facilities budget, tracking expenditures, and identifying costsaving opportunities.
  • Provide regular budget reports and updates to senior management.

Security and Safety Management:


  • Implement and enforce security protocols, including access control and emergency procedures.
  • Develop, implement, and enhance health and safety programs.
  • Collaborate with stakeholders to conduct regular safety training sessions and drills.

Sustainability Initiatives:


  • Identify and implement environmentally sustainable practices within the facilities space.
  • Explore opportunities for energy efficiency, waste reduction, and green building initiatives.
  • Lead the regional Green Team, fostering a culture of sustainability and environmental responsibility.

Team Leadership:


  • Lead and mentor a team of facilities staff, providing guidance and support in daytoday activities.
  • Foster a positive and collaborative working environment within the facilities team.

Oversee Records Management Department:


  • Manage and coordinate activities within the Records Management Department.
  • Ensure compliance with records management policies and procedures.
  • Implement best practices for efficient records organization and storage.
  • Take charge of the digital file transformation project, ensuring seamless transition and enhanced accessibility.
  • Collaborate with crossfunctional teams to achieve project milestones.

Update Facilities and Business Support Services Policies:

  • Work closely with relevant stakeholders to review and update facilities and business support services policies.
  • Maintain uptodate documentation and ensure alignment with industry standards.
  • Utilize SharePoint to update and disseminate revised policies and procedures.
  • Ensure the accessibility and userfriendliness of SharePoint for employees.

Must Haves

  • Bachelor's degree in Facilities Management, Business Administration, or a related field.
  • Proven experience as a Facilities Manager, preferably in a legal or professional services environment.
  • Knowledge of relevant laws and regulations related to facilities management.
  • Certification in Facilities Management is a plus.
  • Indepth understanding of facilities management principles.
  • Familiarity with health and safety regulations.
  • Knowledge of office space planning and optimization.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficient in Microsoft Office Suite and facilities management software.
  • Problemsolving aptitude.
  • Leadership skills to effectively manage a team.
