    Summary:

    The Project Administrator is responsible for overall administrative duties for the project site, Project and Construction Manager, Health, Safety, Quality, and Environmental staff, and supporting site staff. This position will last for the duration of the specific project.

    Requirements:

    • Assists Project Manager, site construction and HSQE management, staff, customers, vendors and walk-ins as needed.
    • Administers project documentation and filing systems using company guidelines.
    • Answers multi-line telephone professionally using proper telephone etiquette.
    • Supports field employees by contacting corporate resources for issue resolution; a ssists and supplies information, as requested.
    • Assists with data upload to client document management system and to Safety on-site database systems e.g. Procore and Workhub.
    • Assists Construction Manger with update of 3 week look ahead trackers.
    • Creates and updates ad hoc spreadsheets, documents, tracks, assists with data gathering required.
    • Assist with keeping on-site documentation up to date and document distribution to site Team.
    • Take minutes for meetings as required.
    • Enters expense claim reports and ensures that proper documentation is sent to Payroll.
    • Assists RES Transportation Safety/Fleet department with management for site vehicles including completing required paperwork.
    • Sends/receives FedEx and Canada Post mail and distributes.
    • Operates a Company vehicle to complete errands for the project, including shipping, mail service and purchasing supplies.
    • Attends work regularly and punctually, as scheduled or expected.
    • Complies with Employee Handbook, Code of Conduct, and Company Policies & Procedures.
    • Presents, supports, and leads-by-example with a safety and quality-oriented attitude.
    • Supports internal office processes and company policies.
    • Orders office/kitchen supplies and stocks them.
    • Assists in planning and organizing site events/activities.
    • Stays current with professional and industrial best practices.
    • Administers project documentation and filing systems.
    • Assists with issuing Purchase Orders (POs), vendor issues, matching invoices to POs/Requisitions, receiving invoices against POs as needed.
    • Reviews employee timesheets, enters into timekeeping system accurately and according to Payroll processing deadlines.
    • Ensures that all paperwork for new employees or transitioning employees is fully completed and submitted to HR within deadlines.
    • Qualifications:
    • High school/GED General required.
    • Associate degree General preferred.
    • 1+ years or more of Administrative experience.
    • Strong interpersonal and communication skills to interface with the clients, vendors, employees, all levels of management including executive level.
    • Ability to multi-task and effectively prioritize, recognize issues requiring action and take initiative, as well as work independently with minimal supervision.
    • Ability to interpret, organize, execute and coordinate project assignments.
    • Skilled in MS Office and Outlook, testing at 80% overall scores on Word and Excel.
    • 40 WPM with less than 5% errors.
    • Familiarity with document management systems.
    • Functional competencies include attention to detail, customer focus, teamwork, prioritization, and accountability.

    Anticipated base salary range: $ $28.00 per hour

    The final agreed upon compensation is based on individual education, qualifications, experience, and work location.
