Reporting to the Executive Assistant, the Administrative Assistant requires exceptional professional and communication skills, excellent organizational and most importantly, the ability to prioritize and multi-task under pressure in a fast-paced environment.


What You Get To Do
Front Desk (60%)

  • Meeting and greeting clients.
  • Answering general switchboard inquiries, screening, and directing calls as necessary.
  • Managing incoming and outgoing mail including scheduling couriers.
  • Monitoring stationery, coffee, tea, and supplies.
  • Organizing meetings and video conference calls.
  • Ensure reception and boardrooms are tidy at all times.
  • Organize team and/or client lunches in the office.
Office Administrative Support (20%)

  • Provide administrative support to the Technical and Supporting team and take direction and instruction on national administration mandates and best practices
  • Support all staff with database entry, data management, formatting documents, and undertaking research
  • Assist with proposals
  • Assist and support office operations
  • Organize and lead staff and client events

Marketing & Service Line Administrative Support (20%)

  • Complete Type 1 and Type 2 proposals for both CM and PMon departments
  • Assist with data entry and database management utilizing HubSpot
  • Support the PMon team lead in producing the internal monthly PMon report
  • Support the CM, PM and TA teams with data entry, formatting and research
  • Manage both commercial and professional insurance certificates
  • Assists in organizing business development and team events

What You'll Bring

  • 13 years of relevant experience
  • Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), and Adobe Acrobat
  • Proven ability to meet multiple and/or unexpected deadlines in an environment that can sometimes be demanding
  • Possesses strong organizational skills that reflect the ability to perform, and take ownership of the position, as well as to prioritize multiple tasks seamlessly with excellent attention to detail
  • Ability to provide stability across multiple teams
  • Adept at building relationships both internally and externally to leverage resources when needed
  • Sound judgment regarding confidential and sensitive matters
  • Strong communication skills
  • Excellent writing, editing, grammatical, organizational, and research skills
  • Strong interpersonal skills and the ability to build relationships with stakeholders, including staff and clients
  • Excellent timemanagement and problemsolving skills
