Summary:

We are committed to fostering an inclusive and diverse work environment. We are seeking a driven and collaborative Assistant Project Manager.

In conjunction with the Project Coordinator and Project Manager, the APM will liaise with external construction personnel to ensure project construction is executed in a timely and efficient manner while maintaining integrity of design, and will assist to lead a team of consultants to ensure financial feasibility and costing of projects.

The APM is expected to have an open mind with respect to solving problems and come prepared with recommendations to the senior management team.

Responsibilities:


  • Maintain effective, cooperative working relationships and liaise with internal (Leasing, Marketing, Accounting etc.) and external stakeholders (consultants, trades etc.);
  • Monitor budgets and deliverables in conjunction with Project Manager, ensuring contractual agreements are maintained;
  • Assist to oversee the Construction Manager, subcontractors, planners, engineers, architects and other consultants during development, construction, closeout phases;
  • Attend consultant design development and construction progress site meetings, ensuring schedule maintained in all phases of the project; monitor productivity rates and planned vs. actuals. Prepare and issue minutes of regular meetings as necessary;
  • Maintain the flow of information and documentation efficiently;
  • Review and coordinate; document preparation for the City, document tracking, reviewing, securing clearances, permits, approvals and tenders;
  • Develop relationships with municipal officials to expedite the issuance and renewal of permits;
  • Shop drawing review process manage and ensure efficiency and timeliness of reviews/approvals;
  • Review all consultant drawings and flag coordination concerns. Ensure drawing revisions are received and distributed/communicated effectively;
  • Review and distribute site instructions with plans, specifications, and related correspondence;
  • Assist in developing and tracking new systems and procedures;
  • Coordinate and track shop drawing submissions, SI, RFI and distribution, including CO review and processing;
  • Create and manage purchase orders;
  • Assist in award of contracts and pricing of suite upgrades;
  • Coordinate all purchaser upgrades/customizations and suite colour selection worksheets, binders, and database systems;
  • Assist the Project Manager with adhoc tasks (shared facilities agreements, condominium registration and close out procedures);
  • In conjunction with Project Manager, coordinate effective scheduling and preparedness for Occupancy, establish contingency plans with Construction Manager, and manage internal and external stakeholders expectations/requests;
  • Assist to manage the administration of the Technical Audit obligations and Warranty issues overall project closeout including document maintenance, deficiencies and warranty work;
  • Coordinate the condominium registration process including liaising with various stakeholders including lawyers, surveyors, planners and municipal authorities;
  • Compile close out documents (including but not limited to asbuilt drawings, contractor warranties & guaranties).

Qualifications & Competencies:


  • A degree in relevant field (architecture, engineering, construction management or project management is preferred);
  • Minimum 37 years' experience working for a developer or general contractor in the residential sector;
  • Excellent analytical and organizational skills;
  • Excellent written and oral communication for liaising with all stakeholders, maintained excellent relations with team members, clients, consultants and subtrades;
  • Well versed with MS office for Information Logs/Status reports, contract documents, administration of the change process;
  • Experience in Project Management software (e.g. MS Project, Primavera, etc.) is beneficial;
  • Ability to read and analyze drawings;
  • Experience working with consultants and contractors;
  • Positive attitude and ambition to grow within an entrepreneurial environment.
