Currently, Bissell Centre is looking for the right individual to fill the position of Administrative Coordinator.

Under the guidance of the Manager of Development, the Administrative Coordinator will provide administrative support and coordination for the Resource Development department to support Bissell Centre's vision, mission, and strategic goals.


The key purpose of this position is to ensure that our major giving, legacy giving, and contract & grant fundraising programs are moving forward on time and ensuring that the development team has what they need to accomplish goals.

This position works in a heavily collaborative environment and maintains cross-organization relationships.


DUTIES AND RESPONSIBILITIES

Program Delivery

  • Create, maintain, and update workflows in our project management software and donor database to ensure efficient and clear project cycle
  • Regularly report back to the Manager of Development on status of projects and any barriers to progress through dashboards and reports
  • Prepare and distribute funding materials
  • Maintain accurate file system, including digitizing and uploading paper documentation to virtual file storage system
  • Schedule meetings as directed and record minutes. Update project timelines and tasks in software arising from meeting action items
  • Conduct preliminary research on funding opportunities, potential supporters, and others as assigned
  • Provide support for donor engagement and stewardship strategies including procurement of supplies, compilation of spreadsheets and lists, mailing cards, or other tasks as assigned
  • Maintain accurate and detailed inventory of branded merchandise and support with distribution as needed
  • Support events and other Resource Development initiatives as assigned
  • Check department mail and provide to appropriate staff, including digitizing and uploading paper documentation as requested
  • Proofread materials including letters, case statements, and presentations
  • Create and organize Teams channels for upcoming funding opportunities

General and Administrative

  • As part of the Resource Development team, work together to achieve the strategic goals of the department and provide support to organizational initiatives
  • Participate in cross training to strengthen department processes and provide support with donation entry as needed
  • Remain current on all legislation and ethical practices pertaining to fundraising
  • Effectively utilize project management software to manage and prioritize both immediate and longterm tasks
  • As part of the Bissell community, participate in cross organization initiatives including safety walks, events, committees, etc.
  • Track credit card receipts and assist in completing monthly claims
  • Track incoming and outgoing invoices to ensure timely payments
  • Participate in regular supervision meetings and team meetings
  • Perform other duties as assigned

WHAT DO YOU BRING TO THE ROLE

Education and Experience

  • Minimum of 2 years in an administration coordinator or project administration capacity
  • Experience with grant administration is preferred
  • Post secondary education in a related field and/or relevant experience

Knowledge, Skills, and Abilities

  • Ability to coordinate multiple concurrent projects that have tight deadlines and involve coordination from a variety of stakeholders and team members
  • Proven ability to use software necessary to achieve goals. Experience with project management tools strongly preferred. Familiarity with databases is an asset
  • Team player who thrives in collaborative environments and possesses excellent communication skills
  • Excellent time management skills and confident, enthusiastic attitude towards ability to meet deadlines
  • Ability to maintain confidential and privileged information with discretion and uphold the highest ethical standards
  • Familiarity with issues of poverty, houselessness and Edmonton's urban core an asset.

CONDITIONS OF WORK

  • Fulltime position—40 hours/week, flexible hours, including evenings and weekends on occasion
  • Hybrid work environment position works remotely and from office in downtown Ed
