JOB SUMMARY


Under the direction and supervision of the Director and Assistant Directors, the Policy Administrative Coordinator will assist with designated policy and project activities to ensure goals and objectives are accomplished in accordance with prescribed priorities, time limitations, and funding agreements.

They will be critical to the smooth logístical, administrative and day to day functions of the policy advancement department, particularly the policy advancement management team.

The incumbent will exercise independent judgement while carrying out coordination activities on specific assigned files.


KEY ACCOUNTABILITIES

  • Assist with the preparation of calendars, scheduling, reports, studies, and other documents for the department.
  • Consult with other ITK departments, counterparts in National and Regional Inuit Organizations and other agencies for the continued operation of policy and project initiatives.
  • Provide support for department projects (i.e., documenting project plans and meeting minutes, assisting in the preparation of meeting binders, calendars, progress reports or updates as required).
  • Assist Policy Advisors with general research and collection of information related to various policy portfolios.
  • Assist in identifying and developing internal procedures required for implementation of departmental operations.
  • Provide administrative assistance to the director's and department i.e., manage Director's calendar, scheduling and arranging meetings, teleconferences, conferences etc.
  • Ensure documents within the ITK information management system are maintained and organized.
  • Prepare reports, records, tables, and related project correspondence and documents as required.
  • Perform other duties as assigned.

QUALIFICATIONS

  • Extremely strong organization and analytical skills.
  • Ability to exercise sound judgment and prioritize workload with mínimal supervision.
  • Effective oral and written communication skills.
  • Computer skills in Microsoft Office, MS Teams, trouble shooting and Internet.
  • Ability to speak and write in English is essential
  • Ability to speak and write Inuktitut is preferred.
  • Some knowledge and understanding of Inuit land claim organizations and, an understanding of community needs and the traditional values in Inuit communities.

EXPERIENCE
Two to three years of work experience in program administration.


EDUCATION
Post graduate diploma, degree or courses in Office Administration, Business, Project Management, or a related field is an asset.
