Job Overview:
We are seeking a highly organized, detail-oriented, and proactive Executive Assistant to provide comprehensive support to our CEO.
As the Executive Assistant, you will be responsible for managing a diverse range of administrative tasks, including bookkeeping, organizing receipts, running errands, and ensuring smooth operations within the executive office.
Your ability to handle multiple responsibilities with efficiency and discretion will be crucial in contributing to the CEO's effectiveness and productivity.
Responsibilities:
1) Bookkeeping:
- Maintain accurate and uptodate financial records, including expenses, invoices, and receipts.
- Reconcile credit card and bank statements, preparing reports for review.
- Assist in budget tracking and expense management to support the CEO's financial decisions.
2) Organizing Receipts:
- Collect and organize receipts for businessrelated expenses, ensuring compliance with company policies and tax regulations.
- Create and maintain an efficient system for filing and accessing receipts for future reference.
3) Running Errands:
- Efficiently handle various errands, such as purchasing office supplies, picking up/dropping off documents, or assisting with personal tasks as needed.
4) Calendar Management:
- Maintain and coordinate the CEO's calendar, scheduling appointments, meetings, and conferences while ensuring optimal time management.
Confidentiality and Discretion:
Handle sensitive information with the utmost confidentiality and discretion.
Ensure the CEO's privacy and maintain a high level of professionalism in all interactions.
Relationship Management:
Build and maintain positive working relationships with internal and external stakeholders, including team members, clients, partners, and vendors.
Qualifications:
- Proven experience as an Executive Assistant or similar role, ideally supporting highlevel executives.
- Strong organizational and time management skills with the ability to multitask and prioritize effectively.
- Proficiency in bookkeeping principles and experience managing financial records.
- Excellent communication skills, both written and verbal, with exceptional attention to detail.
- Discretion and confidentiality are vital attributes for this role.
- Flexible, adaptable, and able to handle pressure in a fastpaced environment.
- High level of initiative and problemsolving skills to anticipate needs and find solutions.
- Valid driver's license and ability to run errands as required.
Job Type:
Part-time
Part-time hours: 8 per week
Salary:
$19.00-$22.00 per hour
Flexible Language Requirement:
- French not required
Schedule:
- Monday to Friday
Ability to commute/relocate:
- Toronto, ON M5V 2V6: reliably commute or plan to relocate before starting work (required)
Education:
- Secondary School (preferred)
