Specific Accountabilities:
- Organizes and tracks faculty evaluations, May/June objectives as well as SWF meetings with faculty.
- Helps assess the need for Work Study or EBAT students
- Assists LInC with the SPL process, tracking faculty members.
- Works with the course leads to ensure that course outlines are being updated in COMMS.
- Organizes and takes minutes for all PAC meetings and meetings within the Division when required.
- Coordinates Exam schedules with faculty and the Registrar's Office
- Organizes Academic Integrity meetings between Dean, faculty and students.
- Maintains CAI records and submits results to the Registrar.
- First point of contact for faculty, students and community for general information
- Creates/composes and manages confidential and routine correspondence for the Dean and School, and external affiliated contacts eg. PAC members
- Manages all Divisional records & correspondence
- Verify payroll data information for all part time, sessional, partial load and contracted services employees
- Plans, maintains and manages Dean's schedule
- Organizes faculty feedback, faculty involvement in events. Responsible for school office/instructional supplies; petty cash, reconciles visa statements
About the Position:
This is a temporary, full time support staff position replacing a bargaining unit employee.
This position will start as soon as possible and will end on/or about April 19, working 35 hours per week at an hourly rate of $26.73, reporting to the Program Manager, School of Applied Science, Engineering Technology and Trades.
This role is responsible for administrative support to the senior leadership team for the School, as well as administrative, secretarial and receptionist support to the department as a whole, and maintains divisional records.
Qualifications:
- Minimum of 2 year diploma in Office Administration, or equivalent
- Minimum of 3 years experience in an administrative environment
- Knowledge of programs/courses
- Excellent communication and interpersonal skills
- Excellent organizational, timemanagement skills
- Excellent writing skills
- Good conflict resolution skills
- Demonstrates respect for confidentiality
- Respectful of needs of contacts internal/external
- Independent, Selfstarter
- Capable of multitasking
- Ability to deal professionally and apathetically with students demonstrating anxiety related to academic and personal stresses)
- Knowledge of CIS and Web Advisor is an asset
