Purpose:


The Volunteer Coordinator is responsible for ensuring all volunteer's needs are met within the organization, and all volunteer-related activities and information is looked after in detail.


The Volunteer Coordinator is a part-time position up to a maximum of 30 hours per week, with the likelihood of extra hours being required during high season, such as events and festivals.

Evenings and weekends are required.


Accountability:

The Volunteer Coordinator will report to the Arts on the Ave Executive Director.


Work Environment:


This position works at both The Carrot and the Jerry Forbes Centre, and must be flexible to adapt to changing environments.

Our environment is busy, we always have lots of work to do, but we also have really fun and inspiring projects.

You must be able to work effectively in a busy/bustling environment. Our dress code is business casual.


Responsibilities:


  • Holistic approach to all Arts on the Ave's volunteer needs, for the Carrot, Special Events, Festivals, and other areas as required.
  • Recruit, train and retention for all Arts on the Ave projects and initiatives
  • Ensure volunteers carry out The Carrot's procedures, and see that procedures are carried out
  • Attend and represent Arts on the Ave at Volunteer Recruitment Events, facilitate all organizational aspects
  • Plan quarterly volunteer appreciation events, as well as festival and other appreciation activities
  • Volunteer Care
  • Maintain the volunteer roster and schedule, ensuring gaps are cared for
  • Keep record of individual volunteer hours and attendance
  • Clearly communicate needs to The Carrot volunteers
  • Initiate additional training of volunteers as needed to ensure acceptable standard of product is maintained and as new products are introduced
  • Develop and implement biannual volunteer feedback survey to continue developing a positive volunteer workplace
  • Managing inquiries, suggestions, and comments from volunteers on a regular basis.
  • Assist with planning and execution of events at The Carrot
  • Be present in the coffeehouse and develop relationships with patrons,
  • Home base is the coffeehouse, you are a team member who leads by example and contributes to the hospitality and care of the coffeehouse
  • Ensure the Carrot cleanliness standards are maintained, and managed
  • Attend monthly Carrot Committee meetings
  • Prepare a brief monthly report for the Carrot Committee review detailing observations, needs & opportunities
  • Create a volunteer incentive program, develop sponsor and partner relationships
  • Attend festival meetings as the Lead Volunteer Coordinator
  • Work with special event staff and contractors, organizing volunteer needs and roles
  • Train all festival leads on how to work with volunteers, help shape volunteer expectations during events
  • Maintain the volunteer handbook, and policies for all Arts on the Ave Volunteer Activities
  • Have a valid driver's license, and owns a relivable vehicle
  • Other volunteerrelated duties as required.

What you bring to Our Team:

  • Have 2+ years of volunteer leadership, development, and coordination experience
  • Have experience in community development, including facilitating communitybased events
  • A diploma in community development, arts and cultural management, volunteer management, human services field, or equivalent experience
  • You have experience working with city core neighbourhoods and indigenous communities.
  • You recognize and celebrate success; help address challenges and barriers that city core communities face.
  • Your are extremely organized, work in a fast paced notforprofit environment, that is constantly on the move, you are fulfilled by helping make the magic happen
  • Fully computer literate, with knowledge of Microsoft Office, Google Suite,
  • Adobe, Basecamp software experience an asset
  • Better Impact literacy required, training provided
  • You have the ability to travel to and from work, different sites, and offisite pick ups as required.
