Who You'll Work With:


  • You will be based in our Toronto office and will be the first point of contact for our colleagues, visitors and contractors consistently focused on driving experience.
  • You will be a core member of the Office Services team and report to the Office Services Team Lead. You will work with consultants, peer assistants, and other firm colleagues across service lines. This team is passionate about delivering exceptional administrative, organizational, and logístical support. They enable our colleagues and our firm to operate efficiently and fulfill its purpose to help create positive, enduring change in the world.

What You'll Do:


  • You provide a high level of customer service to all colleagues and clients, efficiently working with the team while ensuring the highest level of professionalism is extended to all vendors, visitors, clients, and colleagues.
  • You will drive all officerelated tasks as needed, including printing requests, invoice processing, purchase reconciliations, data entry, catering setup, and ordering stationery/office supplies, as well as creating and issuing building access cards to colleagues. You will adhere to security and confidentiality protocols at all times.
  • You will coordinate the office, including booking rooms, presenting the spaces, and providing AV and event support. You will be responsible for vendor coordination, facilities maintenance tasks, team coverages, processing and receiving deliveries, answering general administrative inquiries, and inventory coordination. You will assist with the coordination of both internal and externalfacing conferences, events, and meetings.
  • As needed, you will drive on and offsite events / meetings from end to end, including working with the host to understand the vision for the event, securing a venue, planning the catering / menu and executing based on firm standards. You will help in maintaining and ordering kitchen supplies / food / beverage supplies weekly. You will help to support these tasks for two offices in the downtown core of Toronto.
  • You will be serviceoriented, flexible, dependable, resourceful, and easily adaptable.

Qualifications:


  • Undergraduate degree and/or demonstrated customer service experience is preferred
  • Outstanding administrative and organizational skills; detail oriented; able to prioritize and multitask; highly proactive mindset
  • Strong ownership of assigned tasks, evident through responsibility and accountability for end product
  • Willingness to adapt to a changing environment
  • Ability to maintain the highest level of confidentiality in both client and office/firmrelated matters
  • Ability to work efficiently and effectively in a fastpaced, deadlinedriven, environment
  • Highly professional telephone presence; strong customer service focus
  • Strong typing and proofreading skills; ability to produce typed documents quickly and accurately
  • Excellent interpersonal skills; ability to build relationships within the firm and with clients, and maintain a positive attitude
  • Ability to expand role beyond responsive support to proactive contributions and ownership for administrative tasks; able to work independently
  • Strong oral and written communication skills
