Work Description:


The Project Coordinator is responsible for supporting the Project Manager and site representatives in day-to-day administration for the on-going construction projects in the Ottawa area.

In addition to the administrative duties of this role, the Project Coordinator will also oversee site contract reporting and will provide support in verifying incoming project documentation.


Major Responsibilities

Project Coordinator

  • Act as the liaison between site construction team and project managers. The ability to communicate respectfully with all parties to effectively relay project updates to key stakeholders.
  • Assist the Project Manager in planning, coordinating and supervising construction activities including crew and equipment.
  • Maintain the database for plans, specifications, cost, and material estimates, subcontract, and reports.
  • Coordinate with the Project Manager for proper procurement of construction materials ensuring timely delivery and accuracy of purchase orders. Confirm deliveries/ order fulfillment etc.
  • Collect data on site to support the accurate preparation and tracking of budgets.
  • Calculate all productivity labour and material yields.
  • Assist the Project Manager in preparation of progress payment certificates, final payment certificates, subcontractor's PPC's and all extra work orders as per contract.
  • Arrange and conduct construction field services/inspections as required.
  • Maintain duties related to Occupational Health & Safety Act and Regulations for construction projects, including participation on accident investigation and reporting, health and safety committee meetings, claims management etc.
  • Coordinate and maintain scheduling of Utility Locates for various construction sites.
  • Process material packing slips.
  • Maintain daily progress reports and distribute to project owners/representatives and senior management.
  • Update Project Manager of daily progress and changes to the job sites.
  • Record and organize documentation for additional work to be done support Project Manager in the preparation of extra work reports and billing.
  • Provide support to the Project Manager in preparation for site meetings or other related construction meetings with consultants, owners, and other project representatives.
  • Catalog all new drawings and documents on network shared files and project management software.
  • Ensure revised drawings and specifications are distributed to site and all foremen have updated revisions of documents on site.
  • Perform additional assignments per manager's direction

Statement of Qualifications

Knowledge, Skills and Abilities:


  • Post secondary education in a construction, project management or related field is required, Bachelor or College degree in Civil Engineering Technician or Technologist program would be considered an asset.
  • Experience in heavy civil construction projects would be an asset.
  • Strong clientfacing and internal communication skills.
  • Detail orientated, solid organizational skill, multitasking skills, and the ability to prioritize is key to this role.
  • Proficient working knowledge of Microsoft Office is required. Understanding of other Project Management tools would be an asset. (HCSS HeavyJob, Bluebeam, MS Project, Procore)

Work Environment:


  • Construction environment can be difficult conditions, loud, busy and will also require both outdoor and indoor work.
  • Manual dexterity required
  • Moving from site to site in construction areas can be challenging.
  • Providing service to several people or departments, working under many simultaneous deadlines
  • Sitting or Standing for long periods of time at workstation
