Administrative Coordinator, U of S Psychology Clinic/Admin Support Group:

The College of Arts and Science consists of twenty-one departments spanning the natural and physical sciences, the social sciences, and the humanities and fine arts.

Several institutes, centres, and interdisciplinary programs are also part of the college, which occupies fourteen buildings across campus.

The college has approximately 300 faculty, 150 staff, and 9,000 students, with annual expenditures of nearly $100-M across more than 2,000 funds.

The Administrative Support Group (ASG) provides clerical and administrative support in the areas of finance, graduate support, collegial processes, faculty recruitment, sessional postings, and other department
- and program-specific duties for many departments and programs in the College of Arts and Science.


Primary Purpose:

The Clinical Psychology program in the Department of Psychology & Health Studies is undergoing a multiyear expansion, which includes increases to the student body, additional faculty positions, and growth of the University of Saskatchewan Psychology Clinic (USPC).

The USPC is an in-house training centre in the Department where clinical psychology graduate students provide psychotherapy and/or assessment services to members of the public, either in clinical practica placements or for applied aspects of therapy and/or assessment classes.

All trainees in the clinic are closely supervised by registered doctoral level psychologists.


The primary purpose of this position is to provide clerical support for the USPC clinic and the clinical training program, including managing the scheduling of clients for the USPC, coordinating clinic dates with team members (students and supervisors), communicating with clients regarding appointment dates, scheduling video conferencing and telehealth appointments, managing charts, coordinating tests, etc.

This position will work closely with the Graduate Program Coordinator, Department of Psychology and Health Studies, to meet the administrative needs of the clinical training program at all points in student progression through the program.

Nature of Work:

This position is a member of the Administrative Support Group (ASG) and reports directly to the ASG Manager; accountability for day-to-day activities is to the Department Head or delegate.

This position will work closely with the Graduate Program Coordinator in the department, and with the Department Head and the USPC Clinic Director.

This position interacts regularly with faculty, clinical psychology trainees, professional partners, and members of the community.

The work is diverse in nature and requires a good understanding of clinical services and accreditation requirements, and a variety of administrative tasks.

The position exercises decision-making in accordance with established policies, bringing unusual situations to the attention of the USPC Clinic Director.

All work is to be carried out in adherence with established University, College of Arts and Science, and College of Graduate and Postdoctoral Studies policies and procedures.

Considerable judgement, discretion, and decision-making is required.


Typical Duties or Accountabilities:


  • Administrative Support for the University of

Saskatchewan Psychology Clinic:
_

  • Obtaining referrals from various community professional partners and scheduling appointments
  • Contacting referring office if referral information is incomplete
  • Fielding phone calls from families and patients and taking care of issues as they arise; triage for followup by team vs primary healthcare provider vs local emergency department
  • Preparing and filing charts
  • Updating client tracking files
  • Working with team members to coordinate scheduling dates, updating on clinic processes
  • Coordinating with the supervising psychologist and SGI or other agencies if reports are requested
  • Meeting weekly with the USPC Director to organize clinic for the week
  • Coordinating clinic activities navigating patients as needed through the building, obtaining consents, informing patients/families of the activities, questionnaire administration, guiding patients and team members throughout the day
  • Overseeing testing materials and resupply needs

Working closely with the Graduate Program Coordinator, Department of Psychology and Health Studies, this position will be responsible for:

  • Managing admissions, deferrals, and acceptances
  • Fielding a high volume of inquiries from current and potential students and faculty
  • Maintaining student lists and files
  • Arranging departmentallyorganized orientations and other graduate student events
  • Managing data entry of progress reports and advisory committee memberships and providing assistance with entry to programs of study
