Position Overview:


Reporting to Senior Manager, Crew Scheduling, the Crew Pay & Legality Administrator will collaborate closely with the Crew Scheduling team to manage and reconcile all crew travel and will be responsible for the transition of data from the crew management systems to payroll.

This role involves meticulous data management and adherence to aviation regulations and company policies.


Primary Job Functions:

The duties of the
Crew Pay & Legality Administrator include:

  • Conduct continuous audits and adjustments of daily Crew Schedules to ensure compliance with Canadian Aviation Regulations (CARs) and company policies
  • Update crew information for payroll purposes, conduct daily payroll audits, and generate biweekly reports
  • Calculate, process, and audit crew payroll transactions, including credit adjustments, training premiums, sick time, leaves of absence, and terminations
  • Assist flight crew with schedulerelated requests and facilitate trip trades
  • Manage administrative tasks for the Crew Resources department, including monthly reserve type allocation, hotel and travel invoice reconciliation, and coordination with finance
  • Monitor the crew payroll inbox, promptly respond to inquiries, handle sensitive information with confidentiality and professionalism, and exercise discretion and judgment
  • Assist in developing and implementing manual payroll processes and system enhancements
  • Provide coverage for the Crew Scheduling Desk during absences, vacations, or schedule gaps
  • Actively engage in Flair's Safety Management System (SMS), reporting encountered hazards and incidents, and promoting the Company Safety Policy
  • Perform other duties as assigned by the Senior Manager, Crew Scheduling

Qualifications & Requirements:

Education:


  • High school diploma or GED equivalent.
-
Experience:


  • Minimum one (1) to three (3) years of experience in Crew Scheduling/Planning or within a payroll environment
  • Experience in reconciling invoices
  • Familiarity with CARs crewing regulations and preferably with Navblue N-OC
  • Previous experience in airline crew payroll audit processes is preferred
  • Preferred background in Airline Operations Centre or Airport Operations
  • Ability to make effective decisions regarding scheduling and meeting customer requirements for charters and other flights
  • Knowledge of Canadian Aviation Regulations (CARs) applicable to 705 operations is advantageous

  • Strong problemsolving skills, enabling the identification of issues and development of solutions while maintaining operational efficiency
  • Intermediate proficiency in Microsoft Office Suite (Word, Excel, and Outlook) is essential
  • Excellent oral and written communication skills, coupled with the ability to maintain professionalism while effectively conveying assertiveness
  • Proficient multitasking abilities, with a talent for maintaining organized workflow
  • Strong interpersonal skills, fostering effective working relationships with diverse stakeholders
  • Demonstrated analytical and problemsolving skills
  • Availability to work irregular hours or shift work, which may include overnights, evenings, weekends, and holidays
