We are currently seeking an Administrative Assistant to be responsible for performing general office and administrative duties for our Waterloo location.


Responsibilities:


  • Prepare various documents or reports as directed, such as expense reports, presentations, letters, meeting minutes, performance metrics, records management, etc.
  • Processing invoices, Accounts Payable resolutions
  • Order general office supplies, coffee, and any catering needs as needed following corporate processes
  • Process boardroom bookings, prepare boardrooms for meetings, order catering as requested, and ensure boardrooms are returned to an orderly condition
  • Assist Business Development with any adhoc requests, such as proposal activity and Proprietary Information Agreement requests
  • Process internal and external mail as directed
  • Perform general office duties such as photocopying, filing, and data entry
  • Arrange travel plans and prepare expense reports for staff as requested following corporate travel processes
  • Update and maintain the global contact list and various administrative documents in the computer system
  • Assist with the records management program (i.e. scanning, digitalizing records, management of Iron Mountain documents, etc.)
  • Assist with Environmental Health and Safety (EH&S) support activities (i.e. manage SDSs, conduct/support facility inspections, etc.)
  • Adhere to corporate security requirements such as visitor screening and issuing visitor badges
  • Reception duties as required.
  • Cycle counting of inventory parts when required

Requirements:


  • Must have some postsecondary education in office administration or equivalent prior work experience
  • Minimum of two years in the field of administration
  • Must have good working knowledge and experience with Microsoft programs such as Word, EXCEL, Powerpoint and Outlook. Knowledge of CONCUR would be an asset.
  • Knowledge of Visio would be an asset
  • Must be able to work with minimum supervision
  • Excellent interpersonal skills with previous experience dealing with the public
  • Strong communication skills, both written and verbal
  • Good organizational skills with the ability to handle various tasks concurrently
